Job Description

ABOUT THE POSITION

As a Court Clerk I, you will:

  • Create and maintain official court records; research cases; prepare and issue court documents; make certified copies and process records requests.
  • Collect and prepares all documentation required for court proceedings; accept and files court documents.
  • Assist the public in person and by phone including retrieving information and files, and providing general information regarding scheduling of court dates, defensive driving, warrants and granting extensions; assist the public in problem solving and research activities.
  • Receive, reconcile, and verify payments and bond monies; prepare financial reports; process payments of various tender types and from multiple sources; establish payment plans; monitor payment records; and perform mathematical calculations with speed and accuracy.
  • Enter accurate data into an automated information system, create and update cases, process records, locate and retrieve files or documents, and perform routine file maintenance.
  • Assist judicial officers in the courtroom during court proceedings.
  • Prepare and process marriage license applications once deputized by the Clerk of the Superior Court.
  • Maintain confidentiality of court proceedings, files, and documents. 
  • Perform other related duties as assigned. 

IDEAL CANDIDATE


Possess knowledge of:

  • Applicable laws, regulations, statutes, policies, and procedures (Federal/State/City). 
  • Court policies and procedures.
  • Basic principles and procedures of legal record keeping and reporting.
  • Court Automated Information Systems (AIS).
  • Standard office practices, procedures, and equipment.
  • Basic math and arithmetic functions.
  • Cash handling and processing.
  • Principles and practices of communication.
 
Possess the ability to:

  • Read and interpret documents, regulations, legal documents, operating instructions, and procedure manuals.
  • Communicate effectively both orally and in writing.
  • Perform tasks accurately in a dynamic environment with changing demands and priorities. 
  • Make simple arithmetic calculation and tabulations rapidly and accurately.
  • Interpret and apply legal terminology and court policies, processes and procedures. 
  • Coordinate and prioritize multiple tasks and activities.
  • Provide public with access to the courts and customer service in a professional manner.
  • Use automated information systems to produce documents and maintain databases.
  • Maintain records and filing systems.
  • Establish and maintain effective working relationships with others.

MINIMUM REQUIREMENTS


Education, Training, and Experience:

  • High school diploma or GED equivalent, AND
  • Two (2) years of general clerical work experience requiring public contact and the interpretation of rules and regulation; OR
  • Any equivalent combination of experience, education and training.

Licenses and Certificates
All Licenses and Certifications required must be maintained throughout employment.

  • A valid Arizona Driver's License at the time of appointment.
  • Be deputized by the Clerk of the Superior Court to issue Marriage Licenses.

SPECIAL REQUIREMENTS

  • Residency within 25 miles of San Luis and within the US required, San Luis residency preferred. 
  • Arizona Committee of Judicial Education and Training (COJET) yearly accreditation is required.
  • Must be able to type 30 wpm.

DESIRED/PREFERRED:


  • Bilingual in Spanish. 
  • Cash handling, posting, balancing, and reconciliation experience.
  • San Luis residency.

Physical Demands
While performing the duties of this job, the employee is regularly required to sit, walk and stand; talk and hear; use hands to finger, handle, feel or operate objects, tools or controls; reach with hands and arms; and perform repetitive movements of hands or wrists. The employee is frequently required to lift up to 30 pounds unaided. Specific vision abilities required for this job include close vision and the ability to adjust focus.

While performing the duties of this class, an employee uses written and oral communication skills; reads and interprets data, information and documents; uses math and mathematical reasoning; performs highly detailed work; deals with multiple concurrent tasks; and interacts with others encountered in the course of work, including frequent contact with customers and/or the public and dissatisfied/abusive individuals.

Work Environment
The employee works in an office environment where the noise level is usually quiet. Certain positions within the classification may require availability to work flexible schedule.
