ABOUT THE ROLE
Responsible for initiating and coordinating the clerical and secretarial functions required in effective implementation of administrative policies. Provide support to the immediate supervisor of the office, performing clerical function such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Give follow up to projects and responsibilities of the supervisor and coordinate special projects assigned. Develop specific goals and plans to prioritize, organize, and accomplish work.
WHAT YOU'LL DO
Compose and types memos, letters, reports, graphics, tables and other documents, using word processing, spreadsheet,
database, or presentation software.Prepare standard legal documents including but not limited to pleadings, discovery, subpoenas and correspondence. May
involve transcription of recorded dictation.Answer, generates, screen or transfer phone calls to appropriate parties or take messages.
Attend meetings to record minutes and transcribe them.
Greets and screen visitors to determine whether they should be given access to specific individuals.
Schedule appointments, maintain office calendar and may coordinate travel arrangements.
Open, read, sort and route incoming mail and reports, answer correspondence, plan their distribution and prepare outgoing mail.
Perform general office duties, such as ordering supplies, filing and photocopying documents, etc.
Perform other tasks and projects in support to the Division as requested by attorneys.
Prepare various reports to be used in different operational areas.
WHAT YOU'LL BRING
Associate degree or at least 60-64 college credits, or 3 to 5 years work experience in lieu of. One (1) to three (3) years of related experience
