Position Summary:


The Pre-Suit Legal Assistant plays a critical role in the early stages of a personal injury case. This position is responsible for gathering and organizing essential information from clients, opening new case files, and ensuring that all documentation is accurately and promptly recorded in the case management system. The ideal candidate is detail-oriented, organized, and able to work efficiently in a fast-paced legal environment.


Job Duties & Responsibilities:

  • Manage case files, ensuring that summaries are properly prepared and updated, litigation files are properly and securely maintained, and records and documents needed are collected and organized.
  • Open and set up new case files, both physical and in case management software, in compliance with GOLDLAW professional standards.
  • Ensure legal department files are maintained and destroyed in compliance with record retention policies and procedures. Track deadlines and follow up on any outstanding documentation.
  • Handles all in-coming records from various on-line sources. (Chartswap.com and Bactes) 
  • Collect documentation of all damage sustained, such as medical records, bills, and loss of income.
  • Data entry of records and bills into Case Management software. (FileVine.)
  • Communicate with clients to gather necessary documents and information to begin building a case and update case managers, attorneys, and clients on all status. 
  • Conduct legal research pertaining to case preparation (Lexis/Nexis, Sunbiz) and provide information to the designated case manager.
  • Review legal documents to ensure adherence to all legal requirements.
  • Draft all written documents essential to clients, insurance companies, health Insurance, medical providers, and send to supervising Case Managers for review.
  • Updates various involved parties as to case status. (Doctors, Insurance Companies, Hospitals, Medical Others, Clients.)
  • Provide extensive contact with clients, insurance adjusters, and medical providers.
  • Communicate case status with clients and outside counsel as requested.
  • Process invoices for Police/incident reports.
  • Serve as backup for office functions, including answering, screening, and directing phone calls; managing mail; and printing or copying documents.
  • Other duties as assigned.

Requirements
  • High school diploma or equivalent; additional education or certification in legal studies is a plus.
  • Prior experience in a law firm or legal intake environment is a plus. 
  • Proven experience in a similar role within a law firm.
  • Proficient in using Microsoft Office Suite.
  • Strong organizational and multitasking abilities.
  • Excellent communication and people skills.
  • Attention to detail and accuracy.
  • Knowledge of legal procedures. 

 

WORK ENVIRONMENT: 


This job operates in a professional office setting as well as working out in the field with the public at events. This role routinely uses standard office equipment: manual dexterity, physical mobility, and some physical strength/stamina.
