Job Description

The Houston office of BakerHostetler has an excellent opportunity for an experienced Receptionist to join our firm.  A successful candidate will exhibit excellent communication skills, competency in general office administration, and a strong customer service approach.  Our ideal candidate is a polished professional who will create a positive first impression.  The job responsibilities include the following: 

  • Open reception area each morning.
  • Welcome clients and visitors upon arrival.   
  • Observe business etiquette and always maintain a professional appearance.
  • Direct the flow of mail, faxes, and deliveries to reach the intended recipients.
  • Answer, screen, and forward phone calls in a professional manner. Route messages as appropriate. 
  • Reserve conference rooms and visiting attorney offices. Send visiting attorney announcement emails, as appropriate. 
  • Ensure proper maintenance and tidiness of the reception area.
  • Perform a variety of clerical duties including preparing mailings, invoice entry and reconciliation, parking validation and reconciliation, expense reimbursements, etc.
  • Assist with copying, scanning, faxing, emailing, note-taking, and travel bookings.
  • Partner with facilities to prepare meeting spaces and arrange refreshments, as needed.
  • Assist in event preparation by drafting invitations/other communications, tracking RSVPs, etc., as requested.
  • Assist HR and Admin team on special projects.
  • Other duties as assigned. 

Requirements:

  • High school diploma or general education degree (GED).
  • At least one year of prior reception experience.
  • Prior experience as a legal receptionist preferred.
  • Excellent written and verbal communication skills.
  • Exceptional interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite and in working with printers, copiers, scanners, faxes, appointment and call forwarding systems.
  • Exercise discretion with confidential and sensitive information and use good judgment while prioritizing needs of the firm.
  • Ability to work well under pressure and quickly adapt to changing priorities.
  • Ability to sit for extended periods of time.
  • Ability to complete the essential functions of the role with or without reasonable accommodations.
