About the Role
We are a rapidly growing law firm seeking a friendly, detail-oriented, multi-tasking receptionist to join our team. The Receptionist is an important first impression, both in person and over the phone with our clients, potential clients, the court, vendors, and colleagues. This position offers an excellent opportunity for professional growth and development in a supportive setting.
Essential Job Responsibilities:
- Operate multi-line phone system to answer, screen, and forward calls, providing information, or taking messages
- Perform a general screening for potential new clients and work directly with the client intake team through their processes and procedures
- Greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
- Assist other staff with scheduling appointments and maintain appointment calendars
- Hear and resolve complaints from clients or the public and escalate if unable to resolve
- Perform administrative support tasks as needed
- Transmit information or documents to clients and staff members
- Answer questions from clients or members of the public
- Collect, sort, distribute, and prepare mail, messages, and courier deliveries
- Provide information about establishment, such as location of offices or services provided
- Perform duties such as taking care of plants, maintain all common areas, and keep kitchen clean
- Other duties as assigned
Job Requirements:
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficient computer skills in Microsoft Office suite, including Word, Excel, and Outlook, as well as general office software including email, video conferencing, and internet browser. Proficiency with CLIO a plus
- Hands-on experience with office equipment (e.g., copy machines, multi-line phone systems and printers)
- Professional attitude and appearance
- Exceptional written and verbal communication skills - ability to clearly and concisely relay information to both clients and staff
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Positive customer service attitude
- Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
- High school diploma (or GED)
Additional Information
- This role is on-site in our Mission Valley office, Monday - Friday 8:30 – 5:00.
- The anticipated compensation for this role is $18 - $23 per hour, but ultimately will depend on experience.
