Job DescriptionVirtus Investment Partners is seeking an experienced Executive Administrative Assistant to support our EVP, Chief Legal Officer & General Counsel and her team of legal and compliance direct reports. In this role, the EA will gain vast exposure to Virtus corporate as well as the affiliate companies and leverage their expertise with a proactive approach and exceptional time management skills. This individual will handle sensitive matters and utilize sound judgment in handling decisions relating to the organization’s global operations. This position will provide high-level administrative support and also help coordinate corporate board and global fund board meetings, help coordinate special projects, and collaborate across the organization and serve as a point person with internal stakeholders.
The position will be based in Hartford, CT, and can work a hybrid schedule with dedicated office days.
Duties and Responsibilities:
- Provides primary executive-level support to senior legal and compliance executive and her direct reports with strong calendar management skills and a proactive approach to planning.
- Help schedule and arrange corporate and global fund related board meetings and compile and distribute materials.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents.
- Process legal bills from external counsel and maintain Excel summaries of legal spend.
- Process legal and compliance related vendor invoices.
- Help maintain internal data warehouse and document management system.
- Responsible for travel, both domestic and international as well as expense reporting with an understanding of currency conversions.
- Overall meeting logistics for executives including handling catering orders, as needed.
- Ad-hoc projects, as assigned.
Ideal Qualifications:
- Bachelor’s degree or equivalent work experience.
- 7 or more years of executive support experience in a fast-paced environment such as financial services or previous experience working in a law firm.
- Ability to exercise strong independent judgment with discretion and flexibility.
- Excellent communicator with the ability to interact with people of all levels in a confident, professional manner.
- Strong Microsoft Outlook, PowerPoint, Excel and Word skills.
- Service focus – dedicated to meeting the expectations of the CLO and other senior executives by maintaining effective relationships with interested parties.
- Ability to prepare and edit Board material with a high level of confidentiality.
- Ability to stay calm under pressure and collaborate effectively with colleagues.
- Must be able to become a Notary Public within 30 days of hire.
The starting salary range is $75,000 to $105,000.
The starting salary offer will vary based on the applicant’s education, experience, skills, abilities, geographic location, internal equity, and alignment with market data. This position is also eligible to participate in the annual incentive plan.
