Client Support responsibilities are the following:

  • Warmly greeting clients and vendors that visit the office and making sure they are comfortable, listened, and assisted.
  • Answer, screen, and transfer incoming calls to the appropriate person through a multi-line phone system
  • Log phone calls and documents into online document management system.
  • Receiving deliveries by courier or messenger and advising the appropriate staff for pick-up of boxes and envelopes.
  • Ensure reception area and conference rooms are tidy.
  • Ensuring mail correspondence is delivered to the appropriate office staff.
  • Assist office staff with clerical duties to include faxing, copying, and organizing/maintaining files, as needed
Qualifications
  • Excellent verbal and written communication skills in English and Spanish
  • Strong organizational abilities and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Demonstrated ability to multi-task and prioritize in a fast-paced environment
  • Customer service-oriented with a friendly and professional demeanor
  • Basic bookkeeping skills
  • Familiarity with office equipment operation and troubleshooting
  • 1-2 years of experience in a similar role preferred
  • High school diploma or equivalent required; Associate's degree in Business Administration or related field a plus
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information
