
POSi Under the general supervision of the Presiding Disciplinary Judge (PDJ), the Disciplinary Clerk performs a wide variety of advanced administrative, clerk of the court, records keeping, and judicial assistant duties. The work performed is of a confidential and legal nature, requiring knowledge of legal procedures and terminology and case filing and calendaring. Work often requires independent actions consistent with procedural court rules, general directives, policies, and regulations. Discretion is required in the application of procedures, guidelines, and instructions. The Disciplinary Clerk is the clerk of the court for the Office of the Presiding Disciplinary Judge (OPDJ). This clerk preforms all filing functions, including the receipt/ filing of all court filings and records; prepares and issues all minutes of court proceedings, scheduling orders and notices to the parties; and manages the OPDJ website with filing and scheduling updates. This position also performs clerk of the court duties such as reviewing, approving or rejecting, and file-stamping new pleadings at the clerk’s filing window and assigning new case numbers as needed; serves as custodian of the record for, public and confidential, disciplinary, disability and reinstatement case records (physical and electronic records) and oversees the maintenance and retention of these records according to court rule and the common practice of clerks of the court; processes records requests which may include redaction or certification of court records. The Disciplinary Clerk is the judicial assistant to the PDJ and proofreads and edits documents including opinions and rulings, and in some instances prepares documents such as training materials and correspondence addressing members of the public, volunteers, and other department’s needs,; performs administrative duties in the PDJ’s office including calendaring, and the management of the hearing room, including room set-up and preparation of virtual attendance through the Zoom or similar platform and management of office supplies/ financial transactions, keeps statistical information regarding the Office of the Presiding Disciplinary Judge and gathers data for annual and fiscal year reports. In addition, the Disciplinary Clerk determines availability and appoints hearing panel volunteer members, hearing officers, and settlement officers; maintains the court calendar internally and online and ensures that all pertinent hearing dates, due dates and, matters have been tasked and entered into the case management system; notifies parties of appointments, conferences, hearing dates and sends other notices as required; handles all components of the processing of a variety of cases such as formal disciplinary, reinstatement, disability and fiduciary matters; organizes and ensures that legal files are properly prepared for the PDJ’s court calendar and task list and serves as the point contact person for litigants, attorneys, the general public, the hearing panel volunteer members the legal community, and other court personnel - resolving a variety of inquiries, requests and complaints. Cross-training with the OPDJ’s paralegal position is needed for circumstances in which said personnel is absent in limited instances. This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proven their ability to perform assigned tasks.
$56,115.00 annualized - $62,195.00 annualized, DOE
This position requires a Bachelor’s degree and a minimum of three years of experience in the legal field or any combination of education, training or experience which demonstrates the ability to perform the duties of the position. This position also requires considerable knowledge of legal terminology, legal practices and procedures, business English, spelling, grammar, punctuation, legal record keeping, court filing systems and general office practices and procedures; and the ability to efficiently and effectively communicate with co-workers, litigants, attorneys, and the public, and respond to emotionally charged individuals in a professional and productive manner. In addition, this position requires the ability to work independently or with minimum supervision and maintain a high level of confidentiality; the ability to efficiently and accurately prepare legal documents and perform detailed work requiring initiative and judgment; the ability to compose correspondence and draft responses to routine inquiries; excellent customer service skills; exceptional time management skills; and the ability to perform multiple tasks simultaneously in a flexible, proficient, and professional manner, subject to interruptions. This position also requires proficiency with computer software such as Outlook, Word, Excel, Adobe Acrobat, SharePoint, and have the ability to work with databases. Experience with the AJACS Case Management System is preferred.
