Litigation Docket Manager Job Details:

Snell & Wilmer has a full-time opportunity for a Litigation Docket Manager. You will be responsible for overseeing the daily operations of the firm’s litigation docket department in accordance with firm policies.  This role ensures accuracy, compliance, and efficiency in managing docketing processes while leading a team of professionals. You will report to the Senior Director of Administration. 

Phoenix is the preferred location; however, the Firm will consider qualified candidates based in other office locations.

This role is ideal for a detail-oriented professional who thrives in a leadership role and is committed to maintaining the highest standards of docketing accuracy and compliance.  For the first six months, you will be required to work in the office at least three days per week for training.  After this period, the position will have more flexibility of in-office presence. 

Position responsibilities include, but are not limited to:

  • Policy & Process Compliance
    • Maintain a thorough knowledge of the firm's docket database
    • Oversee the integrity of the docket database to ensure accuracy and compliance with the rules and the firm’s established procedures
    • Oversee updates and maintenance of the Docket Manual, ensuring completeness and accuracy
    • Maintain and revise department best practice documentation as needed
    • Propose process changes for approval to the Senior Director of Administration or General Counsel
    • Document and communicate changes within the policies and procedures to docket staff

  • Team Leadership & Development
    • Participate in the interview and candidate selection process 
    • Train new employees and provide ongoing coaching for existing team members
    • Collaborate with Human Resources to address performance improvements
    • Conduct annual performance evaluations
    • Manage employee timesheets, time-off requests, and ensure compliance with work schedules.
  • Department Operations & Management
    • Assign and oversee department projects to ensure efficiency
    • Collaborate with each office to coordinate workflow and coverage for planned and unplanned absences
    • Manage the relationship with the firm's docket software vendor
    • Act as the first point of contact for inquiries and issue resolution from docket staff, attorneys, and other team members
    • Provide training and support for timekeepers on docket software, which includes travel to firm offices.

Experience and Qualifications:

  • At least 5 years experience of litigation docketing experience in a law firm or comparable legal environment, with demonstrated responsibility for managing complex, high-volume dockets.
  • In-depth knowledge of litigation lifecycle management, including pleadings, motions, discovery, trial, and post-judgment deadlines.
  • Business degree or equivalent professional experience, preferred
  • Exceptional attention to detail and highly organized with a strong track record of accuracy and deadline compliance.
  • Strong analytical and creative problem-solving skills with sound judgment
  • Experience with docketing and case management software (e.g., CompuLaw, CourtAlert, ProLaw, Elite 3E, or similar systems)
  • Demonstrated leadership experience, including training, mentoring, and supervising docketing or calendaring staff (if applicable).
  • Ability to maintain confidentiality and exercise sound judgment in handling sensitive legal matters.
  • Excellent interpersonal and presentation skills with the ability to effectively interface with attorneys, senior management, and staff

The Litigation Docket Manager role offers a salary range of $75,000.00 to $90,000.00.  Compensation will vary based on the selected candidate’s experience, qualifications, and work location.
