Job Description

SALARY GRADE: Flat Rated

The civil courtroom deputy clerk performs specialized clerical and administrative work in a clerk of superior court office that involves processing criminal or civil cases. As a large office, work may involve processing only one phase of a criminal case such as the initial filing, continuances or judgments for one or more areas of criminal district court cases (misdemeanors, infractions, and appeals from magistrate court), or superior court cases (felonies or appeals from district court). Other duties may include processing all phases and areas of criminal cases, which involves information to the public, attorneys, law enforcement, and others on criminal forms and procedures, establishing and maintaining hard copy and electronic files, operating court reporting equipment and reviewing and processing documents related to assigned cases.

Duties include, but are not limited to, the following:

  • Pull/Review court calendar.
  • Pull case files/shuck to prepare for court.
  • Bring required forms, pens and necessary items to courtroom.
  • Sort case files during calendar call.
  • Answer questions from attorneys, the parties involved in the cases, and the judge.
  • Start recorder, tabs and labels entries throughout the recording.
  • Administer oaths.
  • Listen to court proceedings and process court orders and judgments (e.g., records the official proceedings of the court on the hard copy of the calendar during court).
  • Maintain exhibit log.
  • Print copies of judges' orders.
  • Re-file cases after court sessions.
  • Discuss and explain court rules and procedures to attorneys, the public and others by phone or in person.
  • Identify and provide applicable forms and written instructions without providing recommendations as to any specific course of action.
  • Establish and maintain case files (e.g., date-stamping, assigning a file number, issuing a summons, collecting filing fees, etc.).
  • Complete cost sheets (indigent and pro se may require additional forms) and direct individuals to cashiering to pay required fees.
The position requires a candidate with the ability to adapt to a fast-paced environment, with several different responsibilities in a focused, consistent manner while working in a high-volume office.

New hires may be paid above the minimum rate depending on education and experience in a North Carolina Clerk of Superior Court office.

Qualifications

Knowledge, Skills and Abilities / Competencies

Knowledge of: NC general statutes; policies and procedures related to the local judicial district; civil proceedings and the Civil Case Processing System (VCAP); juvenile proceedings; Juvenile Case Tracking/Scheduling System (JWISE); eWarrants; eCourts; Odyssey Enterprise Justice, and general office and clerical procedures.

Skills in: basic math; active listening; managing a high volume of public interaction; effectively communicating both verbally and in writing; fast, accurate data entry; and MS Word, Excel, and Outlook.

Ability to: read and comprehend legal documents; interact diplomatically with a diverse group of people; multi-task; adjust to unexpected events; meet deadlines; organize and manage files; work independently; maintain confidentiality; and provide procedural information without giving legal advice.

Minimum Education and Experience Requirements

High school diploma or equivalent. Minimum of 18 years of age. Craven County residents preferred.

Management prefers applicants with professional experience working in a courthouse or law office.
