Fennemore has an excellent opportunity in our Sacramento, California office for a full-time LEGAL ADMINISTRATIVE ASSISTANT—BUSINESS & FINANCE to join our growing team. This new, on-site position is suited for a reliable, accurate, productive, and self-motivated individual who is intelligent and resourceful. This team member will provide support to various business attorneys. 

Responsibilities

  • Interacts with clients, other offices, and administration telephonically, in-person, and via email.
  • Document Preparation: Assist in the preparation and review of legal documents, including estate planning documents, contracts, pleadings, and correspondence. Prepare execution packages, closing binders, and similar deliverables.
  • Document Management: Accurate filing and organization of legal documents, both electronically and physically.
  • Scheduling and Coordination: Schedule meetings, hearings, and depositions, manage calendars, coordinate travel arrangements, and expense reimbursements.
  • Client Intake: Participate in opening files, coordinating conflict changes, and preparing engagement letters.
  • Billing Support: Assist in tracking time and processing proformas to ensure accurate and timely billing.
  • Teamwork: Collaborate effectively with other legal support staff and attorneys, in and out of the office, working as a team to achieve common goals.
  • Other duties as assigned.

Requirements

  • Bachelor’s degree desired, but not required.  5+ years of related legal administrative assistant experience in a law office with an emphasis on non-litigation matters.
  • Adherence to the highest standards of ethical conduct, especially to standards governing confidentiality and the ability to carefully handle and protect sensitive information.
  • Strong knowledge of the English language, including excellent spelling, grammar, punctuation, form, and style.
  • Proficiency in the standard collection of Microsoft Office software, DocuSign, Adobe, or Kofax, document management, and time entry systems. iManage and Intapp are a plus.
  • Superior organizational skills, attention to detail, and the ability to manage several projects to completion on a deadline.
  • Excellent verbal and written communication skills.
