Description

The Intake Supervisor will lead and support a team of Intake Specialists and Intake Virtual Assistants, fostering a culture of excellence, empathy, and client-centered service. This role requires strong leadership skills to coach team members, ensure compliance with intake procedures, and drive performance improvements.


Legal experience is not required—we are willing to train a talented candidate who demonstrates true leadership, empathy, a strong service-oriented mindset, and the ability to secure new clients for the firm.

Requirements
  • Supervise & Coach Intake Team – Oversee Intake Specialists and Virtual Assistants, conducting performance audits, correcting deficiencies, and providing coaching to drive success.
  • Client Service:  Engage with potential clients to gather case details, assess viability based on legal criteria, explain the legal process and firm services, and collaborate with legal professionals to evaluate case merits while ensuring clients provide necessary documentation. 
  • Client Intake Process Management – Oversee the teams' potential client appointments, gathering and assessing essential case details, conducting interviews, and ensuring accurate documentation for legal review.
  • Performance Management – Use discretion to discipline and coach team members as needed, implementing performance improvement strategies in collaboration with Firm leadership and HR.
  • Process Improvement – Identify and implement strategies to enhance intake procedures and overall team performance.
  • Goal Setting & KPIs – Assist leadership in establishing departmental goals and key performance indicators (KPIs) to measure and improve intake efficiency.
  • Other Duties as Assigned – Support leadership in additional responsibilities as needed.
Qualifications & Skills
  • Proven leadership and supervisory experience, with the ability to mentor, delegate, and develop a high-performing team.
  • Strong problem-solving, organizational, and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication skills for professional interactions with both employees and clients.
  • Tech-savvy with ability to learn case management and CRM systems.
  • Bilingual in Spanish is preferred but not required.
Physical Requirements
  • Ability to perform essential job functions in compliance with ADA, FMLA, and other federal, state, and local regulations. Ability to maintain regular, punctual attendance in accordance with workplace standards.
  • Must be able to communicate clearly via phone and other mediums.
