Essential Duties

The Court Clerk II performs essential administrative and courtroom support functions for the Clerk of Circuit Courts. This role is responsible for real-time electronic minute taking, managing court records, preparing legal documents, assisting the public, and ensuring the efficient operation of court proceedings. Responsibilities include but are not limited to:

  • Attend court hearings and record electronic minutes in real time using CCAP.

  • Mark exhibits, administer oaths, and prepare on-the-spot court documents (e.g., Notices of Hearing, Bail Bonds).

  • Operate courtroom technology, including audio equipment, Zoom, and conference systems.

  • Update and process case dispositions in CCAP following office procedures.

  • Prepare and distribute Judgments of Conviction, Dispositional Orders, Deferred Prosecution Agreements, Commitment Orders, and other post-disposition documents.

  • Accept, process, and route electronically filed and paper documents; scan documents into CCAP.

  • Create, distribute, and process court orders and legal communications, including warrant cancellations and expungement decisions.

  • Serve as a primary contact for attorneys, pro se litigants, and members of the public.

  • Provide procedural information regarding filings, motions, and general court processes.

  • Make independent decisions within the scope of role and established policies.

  • Schedule hearings and issue statutory notices for judges, attorneys, and self-represented litigants.

  • Process substitution of judge requests and judicial recusals.

  • Update litigant addresses, attorney representation, and interpreter assignments.

  • Enter accounts receivable into CCAP; generate billing statements and reminder notices.

  • Open, date-stamp, and route incoming mail.

  • Coordinate guardian ad litem appointments and distribute related documentation.

  • Prepare, index, and monitor appealed cases.

  • Administer juror questionnaires, maintain jury trial calendars, assemble jury panels, and prepare juror lists.

  • Track jury statistics and respond to inquiries from the shared juror email inbox.


Qualifications

  • High school diploma or equivalent.

  • Two or more years of experience in a Clerk of Circuit Courts office preferred (Court Services Assistant, Judicial Assistant, Accounting Assistant/Specialist, or related role).

  • Proficient typing and data entry skills.

  • Strong knowledge of CCAP case management software and court procedures.

  • Working understanding of legal terminology and preparation of legal documents.

  • Ability to make independent decisions within legal and policy boundaries.

  • High level of confidentiality, integrity, and sound judgment.

  • Excellent customer service, communication, and interpersonal skills.

Salary
  • $24.31 - $27.84/hour
