Job Description

Summary: Performs a variety of secretarial duties for attorney(s) to whom assigned according to established policies and procedures. Maintains positive contact with clients, attorneys and staff and observes confidentiality of client matters.

Key Responsibilities:

  • Solid working knowledge and a demonstrated high acumen in the operation of computer software applications, specifically Word, Excel, PowerPoint, Adobe PDF, Outlook, and other firm software as required.

  • Handles filings including federal, state, appeals, and e-filings. Knowledge of e-filing process and is adept at learning local rules for courts in multiple jurisdictions.

  • Creates drafts and standard correspondence to courts, clerks, and opposing counsel, etc. as required.

  • Prepares discovery and pleading shells and assists with document productions.

  • Assists with trial preparation, including trial and exhibit binders.

  • Finalizing letters, motions, pleadings and discovery forms.

  • Establishes and maintains attorney calendar and case deadline reminder systems with properly coordinating essential tasks that go along with calendared events, including reserving conference rooms or making deposition arrangements.

  • Opens new matters, requests conflicts of interest checks updates and maintain legal files.

  • Process expense reports, check requests, and enter partner billable time.

  • Arrange travel, coordinates meetings and conference calls across various offices and time zones.

  • Receives clients and visitors, observes confidentiality of attorney-client relationship.

  • Act as coverage for receptionist and receptionist duties, when needed.

  • Other duties as assigned.

Qualifications:

  • Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.

  • Must be familiar with Federal, local and E-Filing rules.

  • Approximately three years on the job general litigation experience necessary in order to produce accurate litigation documents and correspondence with minimal supervision.

  • Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.

  • Must be proactive with the ability to multi-task and organize a busy desk.

  • Ability to proofread typed material for grammatical, typographical or spelling errors.

  • Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.

  • Work occasionally requires a high level of mental effort while producing a high volume of information performing other essential duties.

  • Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours.
