Position Title – Legal Secretary--Litigation Department
FLSA Status – Non-Exempt
Position Summary: This position will include secretarial and administrative support, client interaction, calendaring, scheduling, document production, and billing. Independent judgment is required to plan, prioritize and organize diverse workloads. Must be detail oriented, accurate and able to work in a fast paced environment.
Must have the ability to maintain positive client relationships and customer service. Good communication, both verbal and written, is essential in this position.
Essential Duties and Responsibilities:
- Perform routine elements of practice skills, professional skills and knowledge of firm operations with little or no supervision.
- Provide legal support to attorney and other legal staff as needed.
- Provide services to internal and external clients in a timely and efficient manner.
- Prepare correspondence accurately and timely.
- Calendar appointments and client meetings in Outlook.
- Process new client/matter intakes including preparing and processing new matter forms, request conflict checks, and opening new files.
- Process mail – prepare, review and route incoming/outgoing mail. Ensure all attachments, exhibits, and enclosures are included.
- Create and maintain paper and electronic files and indexes.
Knowledge, Skills and Abilities Required:
- High School diploma or GED required.
- Legal secretary and/or legal administrative assistant experience in Litigation preferred but will look at candidates who posses similar experience, knowledge and work skills.
- Strong Word, Excel and Outlook email and calendar experience a must. Ability to work efficiently in Windows-based computer applications.
- Must be a self starter with the ability to focus and be extremely detail oriented. Highly organized and efficient.
- Must be able to meet deadlines.
- Good interpersonal skills with attorneys and staff at all levels of the firm.
- Ability to work daily schedule, in the office, Monday-Friday 8:00 a.m. to 5:00 p.m. with overtime as needed, and maintain an acceptable level of attendance and punctuality.
- Ability to communicate critical information by conveying the information clearly, accurately, honestly and concisely in accordance with company and practice area policies and procedures.
- Must be able to maintain professionalism at all times.
