As the Legal Assistant, you will:Provide excellent customer service for: in-person visitors, telephone callers, take and relay messages, or direct callers to appropriate individual.
Respond to requests for information (no legal advice), provide information as permitted by guidelines for Legal Requirements, Records and Confidentiality (including the City Prosecutor’s verbal direction).
Issue Subpoenas for trials
Maintain contact with Pro Per defendants, victims and witnesses, including law enforcement and civilian.
Organize and develop systems to maintain physical and electronic files and data.
Track, review, and prioritize tasks for self, 1 attorney and 1 Paralegal; track fixed deadlines, City Prosecutor’s goals, professional memberships, office subscriptions, time documentation for payroll deadlines, and related matters.
Schedule and monitor the calendar of the City Prosecutor.
Prepare and proofread for attorney review various formal correspondence and documents such as letters, memoranda, legal documents, reports, transcriptions, and other written materials.
Prepare reports such as annual budget reports and other reports requested by management.
Proofread own drafted documents and those of the Prosecutor before they are disseminated.
Create, update and maintain forms and the department’s web page.
Maintain absolute confidentiality of work-related issues and City information.
Assist in monitoring the City Prosecutor’s Office budget responsibly; handle processing of invoices, requisitions, budget transfers, travel arrangements for the attorneys, purchase card logs, gas card logs, office supply purchases, and other costs of the office.
Performs other related duties as assigned.
- IDEAL CANDIDATE
Possess knowledge of:
Policies, practices, procedures and basics of legal proceedings, and sources of laws.
Legal terminology, principles, procedures, documents and forms.
Basic principles and practices of retrieving legal research.
General Office procedures and operations.
Efficient use of Microsoft Office Software (Word, Outlook, Excel, PowerPoint, Teams).
Office operating equipment: computer peripherals, printers/scanners/fax machine/copiers, audio recorders, and other common office equipment.
Business style writing, grammar, and punctuation, in all documents, including e-mail.
Formal business letter format.
Basic accounting principles and practices, and budget preparation.
Confidentiality requirements.
Understanding of Document Management Systems.
Possess the skills to:
Operate a variety of modern office equipment; and
Both verbal and written communication skills in English (Spanish skills, while not , are preferred).
Possess the ability to:Organize operational activities of the department.
Track, review, and prioritize tasks.
Prepare a wide variety of legal documents, contracts, reports and correspondence.
Prepare, organize, verify, correct and file/record legal documents/instruments.
Maintain confidentiality of data and information.
Work in a fast-paced environment, while meeting multiple deadlines.
Work independently on difficult or complex clerical tasks.
Demonstrate initiative, learn quickly and seek useful resources.
Proofread documents and formal correspondence with a high level of accuracy.
Create accurate minutes/reports from audio recordings.
Type 40 WPM proficiently.
Establish and maintain effective working relationships with City employees and officials, attorneys, representatives of outside agencies and the general public.
Follow and comply with the San Luis City Code on purchasing.
- MINIMUM REQUIREMENTS
Education, Training and Experience:- High school diploma or GED, and
- Three (3) years of legal-or-law related field office administration experience, OR
- 6 years of progressively responsible office administration experience.
Licenses and Certificates:
All Licenses and Certifications required must be maintained throughout employment.- A valid Arizona driver's license at the time of appointment
Residency in the United States and within 25 miles of the City of San Luis
Bilingual in Spanish
Must have the ability to pass a criminal background check.
DESIRED/PREFERRED:San Luis residency
Accredited Legal Professional (ALP) Certification

Work Environment:
The employee works in an office environment where the noise level is usually quiet.
