This position is responsible for providing support to the Assistant District Attorneys on assigned cases being prosecuted by the District Attorney's Office, which includes research, trial preparation, typing, filing, scanning, etc. Organization, initiative and the ability to multitask are essential in carrying out the duties of this position.
- Essential Duties and Responsibilities
- Clerk III is responsible for providing technical support to all Assistant District Attorneys. The support provided includes research; trial preparation; discovery, exhibit organization; witness arrangements; typing and filing motions, answers, and briefs; scanning and saving documents; PowerPoint preparation and setup; and any other responsibility assigned by the District Attorney, Trial Manager, and/or other supervisor.
- The Clerk III shall serve as a support staff member preparing files for other court hearings outside of trial and shall prepare and deliver discovery, notify and support victims of crime, and assist as directed by supervisors to ensure efficient processing of cases in the office.
- Clerk III shall work as a member of a prosecution team as assigned by the District Attorney.
- Clerk III shall assist detectives in preparing, receiving, and processing paperwork, as well as contacting relevant authorities for Governor’s Warrants.
- Clerk III must exercise diligence and thoroughness in his/her work capacity. In addition, the Clerk III must possess the highest degree of professionalism as he/she is representing the District Attorney's Office in the regular course of business.
- As with all positions in the District Attorney’s Office, the Clerk III must complete any and all additional duties as assigned by the District Attorney.
- Clerk III with Rasa/Vojo funding:
•Check each file within his/her designated group for victims, send out victims’ introduction packets to each victim, input victims’ information into the District Attorney’s Office computer database, and properly input the information into the database.
•Contact Police Officers and Pennsylvania State Police for additional victims’ information if not provided in original reports.
•Ensure any returned restitution paperwork is given to the proper Assistant District Attorney.
•Notify all victims of court hearings either by phone or mail.
•Provide dispositions from court and Judge’s orders to victims.
•Accompany victims to court when necessary.
•Field calls from victims.
•Speak to victims that come to the District Attorney’s Office
•Refer victims to other agencies when applicable.
•Guide victims through steps in the SAVIN program.
•Assist victims filling out Victims compensation forms
•Provide Parole release information to victims
•Provide apology letters from defendants to victims when ordered by Judge.
- Required Knowledge, Skills and Abilities
- Ability to work in a fast-paced environment with the ability to multitask under certain high stress situations;
- Knowledge of office technology: Microsoft Office Products – Word, Excel, PowerPoint; dictation for both microcassettes and CD transcriber machine, copy machine and scanners;
- Ability to gather, organize and analyze information;
- Ability to understand and carry out complex oral and written instructions;
- Ability to express oneself clearly and concisely both orally and in writing;
- Ability to reprioritize work in order to resolve problems;
- Thorough knowledge of standard office procedures and practices such as types, organization, and use of standard office files, logs, forms and legal letter formats;
- Ability to collect and organize material for reports by determining what available information should be included and presenting the information in a prescribed organized format; and
- Ability to make duty-oriented decisions on the basis of well-defined standards and procedures.
- Ability to speak and understand the English language (ability to speak and understand the Spanish language is a plus).
- Minimum Qualifications
- Possession of the required knowledge, skills and abilities;
- Graduate of high school or possession of a high school equivalent diploma and possesses three (3) years of full time, paid general experience in a governmental agency setting, law enforcement setting, or similar office setting. Must be willing to undergo and pass a background check.
