Scope of Position
The Administrative Assistant / Paralegal will provide high-level support to the management team in a fast-paced, detail-oriented environment. This position will focus on reviewing and researching contracts, documents, permits, and compliance-related materials. The role requires strong organizational skills, the ability to manage multiple priorities, and a proactive approach to problem-solving.
Position Duties
- Provide day-to-day administrative support to the management team.
- Manage and maintain business licensing compliance, including:
- Researching requirements for new locations.
- Renewing business licenses and completing required filings.
- Ensure environmental compliance for all applicable regulations and requirements.
- Review and analyze customer and vendor contracts for accuracy and compliance.
- Draft, edit, and proofread legal documents, correspondence, and reports.
- Conduct legal research on statutes, regulations, and case law as directed.
- Maintain and organize legal files, records, and documentation for easy retrieval.
- Prepare summaries of contracts, agreements, and other legal documents for management review.
- Assist in coordinating responses to subpoenas, discovery requests, and regulatory inquiries.
- Track contract deadlines, renewal dates, and compliance reporting requirements.
- Collaborate with internal departments to ensure seamless communication and successful partnerships.
- Conduct research and compile information as needed for legal, compliance, or operational purposes.
Skills & Experience
- Ability to learn quickly and adapt to changing processes and priorities.
- Strong proficiency in Microsoft Excel and Outlook.
- Excellent organizational skills with a keen attention to detail.
- Critical thinking skills with the ability to develop creative and effective solutions.
Qualifications
- Minimum of 5 years’ experience in an administrative or paralegal role.
- Bachelor’s degree preferred; paralegal certification is a plus.
- Experience in compliance, licensing, and contract review is strongly preferred.
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer.
Benefits & Compensation
- Salary Range: $50,000 – $62,500 annually.
- 401(k) with up to 3% annual company contribution.
