About The Job

The Intake Manager (Attorney) is responsible for overseeing the client intake process, ensuring efficient and effective management of new client inquiries while providing legal evaluation and guidance. As an attorney with family law experience, this role assesses potential new client matters for legal merit, ensures alignment with firm standards, and supports the Intake Team in delivering exceptional client service. The Intake Manager also supervises the Intake Team, handles escalations, optimizes processes, and partners with firm leadership to advance the firm’s growth and client service goals. 

 

You'll be responsible for: 

  • Legal Evaluation: Assess potential new client matters for suitability, including reviewing facts, identifying key legal issues, and advising the Intake Team on next steps. 
  • Team Leadership: Lead, support, and manage the Intake Team, ensuring high-quality service delivery and client satisfaction. 
  • Escalation Management: Handle complex, sensitive, or escalated potential client matters requiring legal judgment and discretion. 
  • Process Development: Document, refine, and maintain intake processes and procedures, ensuring compliance with legal and ethical standards. 
  • Collaboration with Leadership: Work closely with firm leadership to align intake strategies with organizational goals and client service priorities. 
  • Reporting: Synthesize and report intake KPIs and trends to the management team, providing insights into client acquisition and conversion. 
  • Teamwork and Flexibility: At our firm, we prioritize teamwork and flexibility. While each role has defined duties, we expect all employees to step up and contribute across different areas when necessary to meet the evolving needs of the firm. 

 

Essential Duties: 

  • Review and evaluate new client inquiries to determine whether they align with the firm’s practice areas, capacity, and case acceptance criteria. 
  • Provide legal context to the Intake Team to ensure accurate representation of the firm’s services and client expectations. 
  • Ensure timely and thorough follow-up with all potential clients, balancing empathy with legal accuracy. 
  • Support attorneys and the finance team in opening new matters, preparing retainers, and ensuring compliance with trust/IOLTA rules. 
  • Conduct regular team meetings to review performance, share legal updates relevant to intake, and reinforce client service standards. 
  • Respond promptly to escalated matters, ensuring potential clients in crisis are handled with professionalism and sensitivity. 

 

Requirements:  

  • Juris Doctor (JD) from an accredited law school. 
  • Active license to practice law in California (required). 
  • Minimum 5 years of family law experience strongly preferred. 
  • Demonstrated ability to evaluate family law matters and communicate legal issues clearly to both clients and staff. 
  • Proven track record of supervisory or team leadership experience. 
  • Strong understanding of client intake, legal ethics, and client confidentiality. 
  • Exceptional verbal and written communication skills, including the ability to explain complex legal issues in plain language. 
  • Excellent organizational and multitasking abilities. 
  • Empathy and discretion in handling high-emotion situations. 
  • Proficient in Microsoft Office Suite and case management software (Clio preferred); experience with CRM software such as HubSpot is strongly preferred.

Compensation: 

The anticipated base salary range for this role is $120,000 - $150,000, but ultimately will depend on experience.
