This role can be based in our Atlanta, Charlotte, Houston, or Florida offices on a remote basis.

Position Summary

The Legal Support Specialist provides a wide range of technical, administrative, and client focus support to a Shareholder in our Public Finance practice group.  The successful candidate demonstrates a high level of accountability, professionalism, attention to detail, and ability to handle multiple priorities in an efficient manner. Flexibility to work overtime as needed.

Key Responsibilities

  • Provides administrative and transactional support to the Public Finance team in a fast‑paced, deadline‑driven environment.

  • Assists with drafting, revising, and formatting bond and finance‑related documents, including managing redlines and incorporating comments from working‑group participants.

  • Prepares required forms and obtain client signatures; assists with submissions to DTCC and other regulatory entities.

  • Supports the closing process by organizing signature documents, tracking executed pages, assembling final documents, and preparing closing sets for distribution.

  • Assists with preparing bond certificates, requisition forms, and other closing items, including coordinating printing, tabbing, and delivery to appropriate signatories.

  • Monitors and follows up on courier and UPS deliveries related to transactional documents.

  • Submits notices of sale and post‑closing materials, including tax documents and recorded items; updates transcripts and distributes final transcript links.

  • Maintains accurate client/matter information, closed‑matter lists, and organized electronic files; responds to document and information requests promptly.

  • Drafts correspondence, memoranda, agendas, and presentations; processes attorney expenses and invoices.

  • Manages attorney calendars, travel arrangements, client contacts, and meeting logistics.

  • Assists with billing tasks, including conflicts checks, new‑matter openings, engagement letters, and reviewing draft invoices.

  • Screens and routes calls; communicate professionally with clients, counsel, and external partners.

  • Proofreads and inputs revisions to legal documents with a strong focus on accuracy and attention to detail.

  • Collaborates and works with administrative support team, coordinators, paralegals, and other legal support team members, where applicable, to ensure maximum efficiency and productivity 

  • Understands firm available resources and leverages most effective resource for desired results

Qualifications

Skills & Competencies

  • Skilled in handling administrative and practice specific tasks with a high degree of accuracy, organization, and efficiency

  • Strong ability to maintain high standards, use good judgment, and seek out ways to contribute and anticipate attorney needs

  • Excellent interpersonal, communication skills (both oral and written), and the ability to collaborate well in a team

  • Be flexible and open to learning new technologies to improve efficiency and productivity of work

Education & Prior Experience

  • Bachelor’s Degree or equivalent experience is preferred

  • Minimum 5 years of experience within a law firm or other professional organization

Technology

  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies
