Job Description

SUMMARY

This is a moderately complex position assisting the public and court personnel with Criminal and Traffic Court related matters. Customer services skills include: ability to interact with the public in a friendly, positive, courteous and professional manner following the Clerk’s Office Mission, Vision and Core Values. Must maintain superior communication and follow-up skills when dealing with the public, support staff and management. Heavy computer and technical skills are essential to completing daily tasks. Flexibility in work schedule may be required to cover a rotating first appearance duty schedule.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists with the First Appearance, Felony, Juvenile, Dependency and Traffic related matters and services.
  • Receives payment for court costs, fees, and fines. Prepares related reports.
  • Searches computer records to verify payment amount and assure proper processing of suspension forms or warrants. Clear Driver License suspensions, print and review driver license histories in the State Comprehensive Case Information System (CCIS). 
  • Works in the Case Maintenance System (CMS) Benchmark to initiate and maintain court case records accurately.
  • Ability to answer questions regarding procedures including option to appear in court and driving school.
  • Processes case filings by State E-filing Portal, paper documents or other sources.
  • Performs work in various queues in the Benchmark application as directed by management.
  • Prepares dockets for court assuring all document and necessary information are properly filed and verified.
  • Prepares for and attends court, enters all appropriate information on forms, takes minutes, marks and accepts evidence, swears in witnesses, manages jury panel attendance, and other courtroom duties.
  • Prepares and disposes of cases and documents received from court, mail, in-person, E-citation or via E-file.  Assures proper execution and notification to other agencies.
  • Flexibility in work schedule to work overtime, flextime, evenings, weekends or holidays depending on court scheduling.  
  • Reviews and redacts sensitive and confidential case information prior to public view in accordance with Florida Rules of Judicial Administration 2.420.
  • Assists the public and court personnel by phone, in-person at the counter, in court, and researches case records to provide information.
  • Adheres to Charlotte County Clerk of the Circuit Court and County Comptroller polices and office procedures.
  • Other job duties as assigned.

OTHER SKILLS AND ABILITIES

Knowledge of Windows and ability to use office automation technology.  Accurate keyboard skills of at least 35 correct words per minute.  Superior communication skills, initiative, organization, and sound judgment.  Must work cooperatively as a member of a team and work well under pressure.

 

EDUCATION and/or EXPERIENCE

High school diploma or GED; and at least one (1) year clerical experience which demonstrates a high degree of accuracy and attention to detail is preferred; preference will be given to those who have experience working in a legal setting.

LANGUAGE SKILLS

Ability to read and comprehend moderately complex instructions, short correspondence, and memos.   Ability to write simple correspondence.   Ability to effectively present information in one-on-one and small group situations to the public.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to balance out cash and prepare cash reports.

REASONING ABILITY 

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.  Ability to defuse angry or upset people while explaining procedures in a professional manner.

CERTIFICATES, LICENSES, REGISTRATIONS

A valid Florida Driver's License or Florida Identification is required for the hiring process.
