Job Description

We are seeking an experienced Paralegal with a strong background in estate planning and real estate to join our team. The ideal candidate will have at least 5 years of direct estate planning experience and be capable of independently preparing and managing complex legal documents, coordinating with clients and attorneys, and ensuring compliance in trust and real estate transactions. This role requires excellent attention to detail, strong client communication skills, and the ability to handle sensitive matters with discretion.

Key Responsibilities

Estate Planning

  • Draft and prepare estate planning documents, including wills, revocable and irrevocable trusts, powers of attorney, advance directives, deeds, and related instruments.
  • Review and analyze client information to recommend appropriate planning strategies under attorney guidance.
  • Coordinate and manage document execution, including client signings and notarizations.
  • Maintain organized digital and physical estate planning files for accuracy and compliance.

Land Trust Administration

  • Prepare land trust agreements, deeds, amendments, and terminations.
  • Coordinate execution of trust-related documents with attorneys and authorized signers.
  • Advise clients on trust-related procedures and ensure compliance with Florida statutes.
  • Manage trustee records, ensuring accurate and timely updates.
  • Record documents in the Official Records.

Real Estate Transactions

  • Support attorneys in real estate closings, reviewing contracts, preparing closing documents, and coordinating with title companies, lenders, and clients.
  • Manage timelines for closings and ensure all documentation is accurate and complete.

Client Coordination & Communication

  • Serve as a primary point of contact for estate planning and land trust clients.
  • Conduct detailed intake and follow-up with clients to gather necessary information.
  • Coordinate attorney consultations, client signings, and execution of documents.
  • Facilitate the closing process for real estate transactions, including coordinating with all relevant parties, scheduling appointments, and ensuring timely completion of paperwork.

Legal & Administrative Support

  • Draft correspondence and legal memoranda under attorney supervision.
  • Conduct legal research as needed to support estate planning and real estate matters.
  • Provide administrative support to legal professionals, including drafting correspondence, organizing legal documents, and maintaining accurate records.

Orientation Meetings:

  • Coordinate and schedule orientation meetings with clients to provide guidance and information.


Requirements
  • Minimum 5 years of estate planning paralegal experience (required).
  • Experience in land trust administration or real estate law is a plus.
  • Experience in real estate and land trust administration (preferred).
  • Paralegal degree, certification, or equivalent legal education/training.
  • Proficiency in Microsoft Office Suite and legal practice management software (Clio and/or Wealth Counsel preferred).
  • Strong organizational skills and ability to manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential client information with discretion.



Work Environment & Additional Requirements:

    • Must be comfortable working in a pet-friendly office (dogs are welcome!).
    • This position is on-site at 1901 W Colonial Drive in Orlando (32804), with no potential for hybrid flexibility.
