Job Description

The Judicial Council of California is accepting applications for the position of Facilities Assistant for Facilities Services.

The Facilities Assistant will provide customer intake validation and dispatch service requests and responds to accurately and timely to all inquiries/requests received from the court facility liaisons, service providers, vendors, public and JCC staff on a wide range of facilities related services. This position provides document control of all service work requests in support of the courts, service providers, JCC and delegated courts. This position provides workload management in support of the JCC Facilities Operations staff, service providers, delegated courts, including corrective action, training/education, and guidance in support of contract management requirements.

The successful candidate will be expected to work in the Judicial Council’s San Francisco or Sacramento office; hybrid work options for employees who live in areas surrounding these locations may be considered.

Duties

Process OPEN work orders in the CAFM (Computer Aided Facilities Management) database:

  • Process (P1/P2) Emergency and Urgent work requests.
  • Process (P3-P6) Next Day and beyond work requests..
  • Process Court Funded work requests.
  • Monitor & process cancel & duplicate return for clarification requests.
  • Reopen work order report review.

Process Service Work Order Updates (Task Orders – TO, Janitorial – JA, Preventive Maintenance – PM, Design, Facilities Modification, Reopen Requests):

  • Organize assigned service work orders SWO updates and set priorities for each request in order of received.
  • Research and follow policy and procedures for each SWO update request as needed,
  • Review and monitor work requests through to completion and provide updates to customers and or service providers.
  • Communicate with regional staff and service providers to troubleshoot and resolve problems.

Call Management Inbound/Outbound Call Processing and Mailbox workflow:

  • Answer calls and respond to emails that provide information and support to the public, courts, vendors, regional staff and service providers.
  • Manage and resolve customer complaints.
  • Research required information using available resources.
  • Follow up customer calls and emails when necessary.

Provide minor technical solutions (with CAFM) to customers by performing a question diagnosis while guiding users through a step-by-step solution.

  • Submit Help Desk tickets in ServiceNow.
  • Troubleshoot procedure errors of CAFM end-users.
  • Use and test CAFM software upgrades.
  • Write and Amend Procedural Documentation:
  • Perform minor updates to previously written procedures.
  • Collaborate with other Facilities units to ensure procedures are clear and concise.

Salary
  • $5,243 - $6,817
Qualifications

High school diploma, GED, or equivalent, and one (1) year of administrative, customer service, or call center experience. Additional directly related experience and/or education may be substituted on a year-for-year basis.
