Join our Legal Support Specialist team located in our San Francisco office.

 

This position provides high-level secretarial and administrative support to five or more attorneys. Provides a wide range of administrative and document processing services in the Tax and Litigation departments. Candidate should also be flexible to work overtime as needed. We are seeking a highly skilled legal support specialist who thrives in a fast-paced, business-driven environment. Key Responsibilities

  • Maintains and organizes litigation case files (electronic and physical), ensuring accuracy, consistency, and compliance with firm and court protocols
  • Prepares, formats, proofreads, and processes legal documents, including pleadings, motions, discovery materials, and correspondence
  • Coordinates and executes e-filings in state and federal courts, ensuring adherence to jurisdictional rules and deadlines
  • Maintains litigation calendars and track key dates, including court appearances, filing deadlines, and depositions
  • Assists with discovery processes, including document collection, review, production, and organization
  • Prepares deposition materials, exhibits, trial binders, and hearing notebooks
  • Manages document databases, including scanning, coding, and organizing case materials for efficient retrieval
  • Conducts basic legal and factual research to support case strategy and attorney requests
  • Tracks and manages service of process and document deliveries, ensuring proper execution and documentation
  • Supports trial preparation, including coordination of logistics, materials, and scheduling
  • Assists with preparation of tax-related legal documents, filings, and correspondence
  • Compiles and organizes documentation for tax planning and transactional matters
  • Prepares tax agendas, reports, and supporting materials for client matters
  • Assists in assembling and maintaining closing binders and transaction records
  • Manages attorney calendars, including scheduling of meetings, court appearances, and client engagements
  • Handles time entry, matter opening, engagement letter preparation, and billing coordination, including invoice review and processing
  • Arranges travel and process expense reimbursements
  • Manages attorney phone lines, screen calls, and communicate messages effectively
  • Communicates professionally with clients, opposing counsel, courts, and internal stakeholders
  • Prepares reports, correspondence, and general administrative documentation
  • Provides overflow and backup support to other legal support staff as needed
  • Contributes to team operations by supporting workflow demands across litigation and tax practices

Qualifications


Skills & Competencies

  • Established understanding of tax litigation laws as they relate to individuals, partnerships, estates and corporations.  Familiarity with IRS, State and local tax agencies, including Franchise Tax Board
  • Comprehension of a variety of legal court documents, including complaints, answers, rulings, judgments, affidavits, motions, appeals, table of contents/authorities, subpoenas, court dockets, reports, memos and correspondence
  • Strong ability to maintain high standards, use good judgment and seek out ways to contribute and anticipate needs
  • Strong attention to detail, organizational skills and ability to manage time effectively
  • Excellent interpersonal skills, communication skills and the ability to collaborate well on a team
  • Position also requires the ability to work under pressure to meet strict deadlines

Education & Prior Experience

  • Bachelor’s Degree or equivalent experience preferred
  • Minimum 5 years of experience as a legal secretary in a business law practice with exposure to the tax litigation practice area
  • Candidates should demonstrate curiosity and adaptability with respect to evolving AI tools and technologies in the professional services environment

Technology

  • Computer proficiency in Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook, as well as document management and other office technologies, expertise in e-filing
  • Exceptional computer skills with the ability to learn new software applications quickly
  •  A proactive approach to adopting emerging AI technologies and contributing to a culture of innovation is strongly valued
  • Understanding of AI capabilities, limitations, and responsible use in a professional environment.
  • Familiarity with, or willingness to learn, firm-approved AI tools (e.g., Copilot, ChatGPT, or similar platforms) to support daily workflow and/or improve work quality. 

Physical Requirements

  • While performing the duties of this job, the employee is occasionally required to move from workstation or desk throughout the work area to work independently or with a team to meet with colleagues or supervisor and retrieve work assignments.
  • This position may also be sedentary and require the employee to sit for extended periods of time.
  • Requires manual dexterity to use a phone, enter data into a computer, handle objects, and use office equipment.
  • Some filing is required and this would entail the ability to lift files, open filing cabinets, and bend or stand as necessary.
The expected pay range for this position is: $46.63-$50.48 per hour Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.  Full time employees may be eligible for a discretionary bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, 401K, vacation, sick time, and an employee assistance program.  Additional voluntary programs include:  voluntary accident insurance, voluntary life, voluntary disability, voluntary critical illness and cancer insurance and pet insurance.  Commuter and Transit programs may also be available in certain markets.
