Job Description

The Legal Assistant will provide advanced administrative and legal support across our firm’s footprint, ensuring the smooth operation of case management, document preparation, and client coordination. The ideal candidate will possess a strong legal background, with specific experience in insurance defense and insurance coverage, expertise in handling complex litigation support tasks, superior organizational skills, and a proactive approach to managing attorney schedules and case progress. This individual will demonstrate professionalism in client interactions, uphold strict confidentiality, and show agility in multi-tasking across high-volume, deadline-driven projects. A team-oriented mindset, coupled with the ability to work independently, will be key to succeeding in this role.

Responsibilities:

  • Provide comprehensive administrative and legal support for insurance defense and insurance coverage matters, including drafting and preparing litigation documents such as correspondence, pleadings, discovery demands/responses, motions, subpoenas, and settlement documents.
  • Assist with electronic filing of insurance-related claims in State and Federal Courts, ensuring compliance with insurance defense and coverage regulations, maintaining client confidentiality, and handling documents securely.
  • Communicate with courts, clients, insurance adjusters, experts, opposing counsel, and co-counsel, ensuring attorneys are updated on case status and tracking deadlines related to insurance defense and coverage matters.
  • Manage attorney calendars, proactively handling scheduling, appearances, depositions, and coordinating with court reporters, interpreters, and experts as needed for insurance-related litigation.
  • Open and close case files related to insurance defense and coverage, ensuring organized and accessible documentation; scan, save, and file documents in the firm’s document management system with attention to insurance-specific details.
  • Perform data entry, process expense reports, check requests, and manage large mailings specific to insurance defense matters; assist with document formatting, proofreading, and editing to ensure clarity and accuracy in insurance-related materials.
  • Transcribe dictation and type documents related to insurance defense and coverage litigation; arrange travel accommodations for attorneys handling insurance cases.
  • Record and securely store client information, ensuring confidentiality of insurance claims and sensitive materials; assist with attorney marketing tasks and supporting overflow work for other attorneys as needed in the insurance defense and coverage space.
  • Collaborate on team projects related to insurance defense and coverage, follow office workflow procedures for maximum efficiency, and perform general administrative and clerical duties as required.

Required Skills/Qualifications

  • In-office 4 days per week.
  • Associate’s degree or higher is preferred.
  • At least 3 years of experience specifically in insurance defense and insurance coverage, with a strong understanding of relevant insurance policies, claims procedures, and related legal processes. Experience with New Jersey matters and Court rules is a plus.
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Teams.
  • Highly proficient with the usage of a case management system and other software applications specific to insurance defense.
  • Knowledge of State and Federal Court E-Filing, with a focus on insurance defense filings and related procedural requirements.
  • Proficient in multi-tasking, attention to detail, excellent communication, and organizational skills.
  • The ability to anticipate schedules and deadlines related to insurance claims and litigation, and move projects forward.
  • Exemplary planning, prioritizing, and time management skills.
  • Should be able to work under deadlines and have some flexibility in their work schedule to meet unforeseen demands; experience in a high-volume insurance defense environment is a plus.

Salary is commensurate with experience and skill set. Position offers benefits, including health, life, short-term and long-term disability, as well as 401k, flexible work, and paid time off.

For New York City Applicants: Salary range: $18.00 - $40.00/hr. ($37,440.00 - $83,200.00), plus may be eligible for an annual discretionary bonus. The anticipated salary range is for candidates who will work in New York City. The salary offered to a successful candidate will depend upon the individual’s skills, experience, qualifications, and other job-related factors permitted by law. Gerber Ciano Kelly Brady, LLP, is a multi-state employer, and this salary range may not reflect positions that work only in other states.
