GENERAL SUMMARY:
The Knowledge Administrator at HMB plays a vital role in supporting legal operations by managing the firm's centralized repository of policies, procedures, and litigation support resources. This position facilitates onboarding and ongoing training for attorneys, paralegals, and staff, ensuring consistent access to accurate, up-to-date legal information and tools. The Administrator also oversees intranet content, coordinates with vendors, and collaborates across departments to promote compliance, efficiency, and best practices. With deep institutional knowledge, this role provides strategic insights and practical solutions that enhance legal service delivery and operational excellence.
SUPERVISORY RESPONSIBILITIES
- No direct reports; serves as a coach and mentor to firm staff.
KEY RESPONSIBILITIES
- Lead onboarding and training for attorneys, paralegals, and staff.
- Develop and update training materials and conduct firmwide workshops.
- Manage intranet content (billing guidelines, vendor info, forms, etc.).
- Oversee access to CLE and legal research platforms (e.g., LexisNexis).
- Maintain vendor databases and coordinate platform training.
- Conduct research to support litigation and business development.
- Provide case-related data (e.g., crash reports) to legal teams.
- Identify and address operational inefficiencies.
- Maintain practice policies and internal communications.
- Monitor compliance and report on malpractice-related concerns.
- Prepare annual performance reports and support strategic initiatives.
- Collaborate on trial roundtables, AI evaluations, and metrics development.
- Support CLE coordination and community outreach with Marketing.
- Respond to client evaluations with internal audits and recommendations.
- Execute ad hoc projects as assigned.
SKILLS & COMPETENCIES
- Strong grasp of legal terminology and law firm operations.
- Skilled in training design and delivery across multiple locations.
- Proficient in managing knowledge repositories and intranet content.
- Advanced user of legal platforms (LexisNexis, PerfectLaw, SharePoint).
- Excellent communication, project management, and analytical skills.
- Knowledge of compliance standards and confidentiality protocols.
- Adaptable, proactive, and responsive to evolving firm needs.
EDUCATION & EXPERIENCE
- Bachelor's degree preferred; advanced degree or certification in Law, Paralegal Studies, or Information Management a plus.
- 5+ years in legal or professional services, with focus on knowledge management or training.
- Familiarity with legal research and case management platforms.
- Proven ability to develop internal resources and collaborate across departments.
PHYSICAL REQUIREMENTS
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times.
