The Position
We are seeking a detailed-oriented Legal Assistant to join our growing Civil Trial team. This position will be part of a team of paralegals and legal assistants and will report to practice group attorneys for work assignments and prioritization. Successful candidates will have excellent communication and time management skills, as well as the ability to work in a collaborative, fast-paced environment.
Essential responsibilities of the position will include:
- Draft correspondence
- Communicate with clients, opposing counsel, judicial administrative staff, vendors and courts
- State and Federal Courts document filings
- Schedule and prepare documents for meetings, depositions, hearings, inspections, trials, etc.
- Maintain attorneys’ calendar for deadlines pertaining to discovery, settlement proposals, good faith offers, complaints, etc.
- Organize and maintain electronic client/matter files
- Schedule and coordinate hearings, meetings, lunches, conferences and marketing related matters
- Schedule travel and accommodations
- Efficient workflow to include; duplication, scanning, mailing, proofreading and merging of documents
- Accurate input of attorney time into Time and Billing system
- Tasks associated with the opening of new clients/matters in Case Management program
- Preparation of expense reports, check requests, trust deposits
- Other administrative duties as assigned
Ideal candidates for this position will possess the following qualifications:
- Minimum 3 years of experience as a litigation legal assistant; personal injury / medical malpractice defense experience is a plus
- Experience preparing legal documents
- Ability to handle multiple tasks simultaneously, work in a fast-paced environment and adapt quickly to changing priorities
- Must be a self-starter, professional, and team player
- Excellent oral and written communication skills
- Enjoy working in a detailed oriented, collaborative environment
- Technical skills to include MS Word, Excel, PowerPoint, Kofax, and Outlook
- Commitment to providing consistent high-quality work product
- Excellent organizational skills
- Familiarity with governmental e-filings and document management systems
- Experienced in document/case management programs, and time/billing software
