Reports to: Chief Legal Officer
Purpose:
The Executive and Legal Operations Assistant is a proactive, detail-oriented professional responsible for serving as the right hand to our Chief Legal Officer (CLO). This is a dual-function role responsible for delivering high-level administrative support while coordinating key legal operations initiatives. This is a hybrid role with onsite presence a minimum of three (3) days per week.
Responsibilities
- Owns the CLO’s calendar: prioritizes, schedules, and adjusts meetings; blocks focus time.
- Coordinates travel arrangements and manages expense reports.
- Screens and drafts incoming correspondence and meeting invitations.
- Serves as first point of contact for internal and external stakeholders on behalf of the CLO.
- Partners with the CLO to develop clear meeting agendas and pre‑read materials.
- Builds polished slide decks and executive summaries in PowerPoint.
- Attends key meetings to capture action items, circulates minutes and tracks follow‑ups.
- Maintains project tracker for strategic legal initiatives.
- Processes, audits and reconciles the CLO’s expense reports in accordance with company policy.
- Acts as the CLO’s proxy on internal working groups when required.
- Collaborates with other departments, aligns priorities and drives process improvements.
- Anticipates needs, flags issues early and drives solutions.
- Supports other duties as assigned.
Required Qualifications
- Bachelor’s degree or equivalent combination of education and experience.
- Minimum of five (5) years supporting a C‑suite executive (legal or professional services preferred).
- Ability to distill complex legal or market information into concise briefs.
- Proven discretion, confidentiality and strong stakeholder management.
- Clear, professional verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet tight deadlines.
- Ability to function well in a high-paced environment with shifting priorities.
- Expert with Microsoft Office Suite (Outlook, PowerPoint, Excel) with the ability to learn new or updated software.
- Strong interpersonal skills with ability to build relations across teams to advance legal objectives.
- Ability to work onsite in our Pittsburgh headquarters a minimum of three (3) days per week.
Preferred Qualifications
- Familiarity with project‑management tools (Smartsheet or equivalent).
- Exposure to legal‑technology platforms.
Work Environment
This position works in a home or professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, see, talk, or hear. The employee frequently is required to stand; walk; use hands and fingers, handle or feel; and reach with hands and arms. Visual acuity is necessary for tasks such as reading or working with various forms of data for extended periods.
