Job Description:

The Service Specialist is a critical support role responsible for ensuring efficient day-to-day operations and delivering exceptional service to both internal and external stakeholders. This role involves a blend of administrative tasks, customer interaction, and logistical support to maintain a smooth and organized work environment.

Job Responsibilities
  • Provide outstanding customer service through various channels, including professional phone calls and direct interactions, addressing inquiries and resolving issues effectively and courteously.

  • Manage and maintain accurate inventory records, assisting with ordering, receiving, and distributing supplies as needed.

  • Coordinate and execute mail services, including sorting, distributing incoming mail, and preparing outgoing shipments, ensuring timely and accurate delivery.

  • Perform general office administration duties, such as maintaining office supplies, organizing common areas, and supporting various departmental needs.

  • Utilize Microsoft Office Suite proficiently for data entry, document creation, and communication.

  • Demonstrate exceptional organizational abilities to manage multiple tasks, prioritize workload, and maintain a structured work environment.

  • Practice self-management to effectively plan and execute daily tasks independently, showing initiative and a proactive approach.

  • Adhere to professional etiquette in all communications and interactions, representing the company positively.

  • Communicate clearly and effectively, both verbally and in writing, with colleagues, clients, and vendors.

  • Contribute to talent planning efforts by identifying and escalating potential resource needs or process improvements within the service function.

  • Maintain a detail-oriented approach to all tasks, ensuring accuracy and precision in record-keeping and service delivery.


Job Qualifications
  • Proven experience in a customer service or administrative support role.

  • Strong communication skills, both written and verbal, with a professional and engaging demeanor.

  • Demonstrated ability to provide exceptional customer service.

  • High level of detail-orientation and accuracy in all work.

  • Experience with inventory management and mail services.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Solid understanding of general office administration principles.

  • Outstanding organizational abilities with the capacity to multitask and prioritize effectively.

  • Comfortable and professional handling phone calls.

  • Adherence to professional etiquette in all business interactions.

  • Strong self-management skills with the ability to work independently and as part of a team.

  • Ability to lift or move 40 lbs. or greater

  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.

  • Ability to walk, bend, kneel, stand or sit for an extended period of time

The Compensation range for this role is 17.03 to 22.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
