We are seeking a Legal Assistant to join a dynamic team that provides legal administrative support to assigned attorneys and paralegals in the firm’s Real Estate practice group. Responsibilities involve significant contact with clients, external attorneys, and legal staff within the firm.  Confidentiality in the handling of client matters is critical in the performance of duties.  

 

 

Job Responsibilities:

  • Drafts legal documents, forms, applications, supplemental materials and correspondence for attorney review; tracks versions of legal documents
  • Performs research to locate and obtain real estate documents including surveys, abstracts and title commitments, tax receipts and zoning reports
  • Opens new client matters; interacts with finance department to assist with client billing and track project budgets
  • Compiles materials and prepares closing binders, indexing files and organizing exhibits
  • Coordinates incoming and outgoing wires
  • Responsible for project coordination, including input and maintenance of client matter and client file logs and notification of deadlines
  • Track business development activities, including calendaring of follow-up actions
  • Generates monthly reports and update projects with information gathered from attorneys
  • Interfaces with clients through various forms of communication; responds to client inquiries
  • Performs general administrative tasks including calendar management, file and document organization/management, time sheet entry and client billing
  • Collaborate with title examiner in preparing and reviewing title insurance commitments and final title insurance policies
  • Ensure accuracy of legal descriptions and property documents
  • Maintain thorough and accurate title insurance records for auditing and compliance purposes

 

Experience and Education Requirements:

  • Associate's or Bachelor's degree strongly preferred
  • Three years administrative experience required, prior experience in a law firm preferred
  • Prior Commercial Real Estate experience is preferred; knowledge of Real Estate practice including procedures, forms and terminology; and a thorough understanding of estate transaction processes
  • Proficiency with title software (e.g. TitleWave and E-Closing)
  • Familiarity with ALTA title insurance policies and endorsements is a plus
  • Skill in proofreading lengthy and complex legal documents for grammatical, typographical and spelling errors, and for general accuracy and completeness
  • Demonstrates competency in Microsoft Office (Word, Excel, Outlook); ability to utilize document management software efficiently
  • Knowledge of standard legal file organization practices
  • Ability to work independently, plan work and organize multi-stage projects, implement individual tasks, and complete assignments with minimal direction
  • Demonstrates a high level of attention to detail; accurate with client information
  • Professional demeanor and appearance; tact; integrity; sensitivity to confidentiality standards within the legal environment; ability to work effectively with a variety of staff and clients in a deadline driven environment
  • Strong organizational skills; ability to respond to multiple priorities and plan work to meet varying deadlines
  • Strong verbal and written communication skills
  • Professional demeanor and strong interpersonal and client service skills; ability to work effectively with attorneys and staff; ability to work collaboratively with other practice group members
  • Ability to take accurate and precise messages

 

 

Recruiting Information:

  • FLSA Classification: Non-Exempt
  • Hours per week: 37.5
  • Annual Salary Range: $25.00-$30.00 per hour
