Job Description

 

What you'll do:

  • Provide administrative support to the Legal Leasing Team.
  • Prepare files for internal paralegals and attorneys.
  • Draft various legal documents including NDAs, Property Subordination agreements, consent letters, default notices, and correspondence.
  • Coordinate UPS deliveries and obtain necessary signatures.
  • Upload files to the internal record-keeping system.
  • Process invoices and prepare matters in Legal Tracker.
  • Maintain schedules and manage the preparation and delivery of various reports (e.g., timesheets, outside counsel spend, budgets).
  • Organize events and prepare AR invoices for specific legal work (e.g., landlord waivers, estoppels, commencement date agreements).
  • Prepare files for outside counsel and update/modify site plans.
  • Manage UPS and certified mail for the Legal Leasing Team.
  • Process expense reports for the Legal Leasing Team.
  • Update lease issues summaries and title issue summaries.
  • Provide W-9 forms upon request.
  • Find documents.
  • Prepare site plans.
  • Request checks from Accounts Payable through Nexus for payouts from landlords for various fees (e.g., consent fees, LTA fees, lender request fees).
  • Update data within internal systems.

 

What we're looking for:

  • College degree and one to three years of related administrative experience and training or equivalent combination of education and experience.
  • Strong organization skills, attention to detail, communication, and general administrative skills a must.
  • Excellent computer and data entry skills required, including Word, Excel, PowerPoint and Adobe
