About the Role:

We are seeking a highly skilled Legal Executive Assistant to join our team at Independent Living Systems (ILS). ILS, along with its affiliated health plans known as Florida Community Care and Florida Complete Care, is committed to promoting a higher quality of life and maximizing independence for all vulnerable populations. The Legal Executive Assistant plays a crucial role in supporting the legal department. This position is responsible for ensuring that all legal documentation and correspondence are managed efficiently and accurately, contributing to the overall effectiveness of the legal team. The Legal Executive Assistant will coordinate meetings, assist in the preparation of legal documents, assist with closings, potential acquisitions, litigation, Medicaid Fair Hearings and day-to-day legal issues that arise. Additionally, this role involves maintaining confidentiality and compliance with legal standards, which is vital in the health care sector. Ultimately, the Legal Executive Assistant will enhance the productivity of the legal team, allowing them to focus on strategic legal matters that impact the organization.

Minimum Qualifications:

  • Bachelor's degree in Business Administration, Legal Studies, or a related field.
  • Three to five years experience as a legal executive assistant or in a similar administrative role, preferred.
  • Proficiency in Microsoft Office Suite.
  • Strong understanding of legal terminology and procedures.
  • Relevant experience may substitute for the educational requirement on a year-for-year basis.

Preferred Qualifications:

  • Master's degree in Business Administration, Legal Studies, or a related field.
  • Experience working in the health care services industry.
  • Familiarity with legal software and document management systems.
  • Certification as a legal assistant or paralegal.

Responsibilities:

  • Manage the calendar and schedule of the legal executives, ensuring efficient time management and prioritization of tasks.
  • Prepare and organize legal documents, contracts, and correspondence, ensuring accuracy and compliance with legal standards.
  • Coordinate meetings, including logistics, agendas, and follow-up actions, to facilitate effective communication within the legal team.
  • Maintain and update legal files and databases, ensuring that all information is current and easily accessible.
  • Assist in audits, research, and analysis of legal issues, including investigations, providing support to the legal team as needed.

The required skills for this position include exceptional organizational abilities, which are essential for managing multiple tasks and deadlines effectively. Strong communication skills are necessary for drafting legal documents and liaising with various stakeholders, ensuring clarity and professionalism in all interactions.
