Job Description
We are seeking a detail-oriented and organized Legal Assistant to support daily office operations while providing administrative assistance to the Legal Department. This role will assist with maintaining legal records, organizing documentation, processing correspondence, and supporting day-to-day legal operations. The ideal candidate will be highly organized, dependable, and comfortable handling confidential information. This position will also provide general office support, including mail handling, document scanning, check processing, and assisting with occasional office visitors and administrative needs. Job Duties and Responsibilities
Legal Department Support
- Provide administrative and clerical support to the Legal Department.
- Maintain and organize legal files, records, and electronic document systems.
- Assist with scanning, filing, and tracking legal documents and correspondence.
- Prepare, organize, and distribute legal documents and materials as requested.
- Assist with document management, including ensuring records are properly stored and accessible.
- Support legal department projects, deadlines, and administrative processes.
- Assist with tracking contracts, legal notices, claims, and other important documentation.
- Gather and organize information and documentation needed for legal matters.
- Maintain confidentiality of sensitive legal and company information.
- Provide general administrative support to attorneys and legal team members
Administrative & Office Support
- Collect, sort, and distribute incoming mail and correspondence.
- Scan and electronically file documents, checks, and other records while ensuring proper routing.
- Process incoming checks, including preparing deposits and maintaining related documentation.
- Assist with maintaining organized physical and digital filing systems.
- Support basic office operations, including ordering supplies and ensuring office areas are organized.
- Assist with coordinating and welcoming occasional visitors or guests at the office.
- Provide additional administrative support and assist with special projects as needed.
- Previous office administration, legal assistant, legal clerical, or related experience preferred.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent attention to detail and ability to maintain accurate records.
- Ability to handle confidential information with discretion and professionalism.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Office 365.
- Ability to learn new systems and processes quickly.
- Ability to work a flexible schedule of approximately 30 hours per week
