This position is not eligible for remote work. This position will work a 5/8 onsite schedule.


GENERAL STATEMENT  

Performs a wide variety of routine clerical and administrative support work for the Municipal Court.  

 

SUPERVISION RECEIVED

Works under the close supervision of the Court Administrator.

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Performs a wide variety of moderately complex administrative and technical duties to support the City’s Municipal Court operations, including interacting with and providing information to defendants, attorney’s, judges, law enforcement officials, and the general public.
  • Assists the public over the counter and on the telephone, answer routine questions about court dates, court procedures, traffic school and other fine procedures.
  • Receives payments for fines, forfeitures and collections. 
  • Performs file preparation and data entry; prepares correspondence and maintains records. 
  • Maintains files of stored documents; assist in updating and purging files according to department guidelines.
  • Schedules appointments and hearings for defendants. 
  • Receives, processes and distributes mail.
  • Accurately enters a variety of data and records associated with court activities into various automated systems or applications; creates reports, documents and formats in these application programs. 
  • Verifies and reviews forms and reports for completeness and conformance with established regulations and procedures; applies policies and procedures in determining completeness of applications, records, and files. 
  • Research cases to determine if court orders are being followed, which may include contacting other agencies, departments, vendors or contractors.  In accordance with program guidelines, takes appropriate action if the defendant is not in compliance, including default judgments, requests for suspension of driving privileges, collections, show cause orders or warrants.
  • Provides information to defendants, explaining their options regarding the various types of pleas and trials reschedule court appearances per court policy; determines fines based on the judge’s order regarding reduction schedules once a plea is entered; processes trials by affidavit. 
  • Assists Court Administrator with court proceedings and docketing; uses computerized court system to track and document court decisions.
  • Assists Court Administrator with matters related to jury trials including sending notices to citizens for jury duty; swearing in juries and witnesses, opening court sessions and marking exhibits.  
  • Participates in continuously improving the effectiveness and efficiency of departmental operations and activities; brings issues and problems to the Court Administrator; makes suggestions for resolutions. 

 PERIPHERAL FUNCTIONS
May serve on a variety of employee committees.
Perform related duties of a similar scope and nature.

Typical Qualifications

EDUCATION AND EXPERIENCE: 

Graduation from high school or GED equivalent with course work in typing and/or general office practices. Three (3) years prior work experience in paralegal or court administrative work. 

Equivalent combination of education and experience may be considered. 


SPECIAL REQUIREMENTS 

  • Law Enforcement Data Systems (LEDS) certified.
  • If not already Law Enforcement Data Systems (LEDS) certified, the ability and willingness to become so within six (6) months of hire.
  • Must successfully pass a criminal history background check. 
  • Must be able to pass the department's security clearance standards for unescorted access to certain City facilities, including review of driving record.
  • Most possess a valid State driver’s license or have the ability to obtain one prior to employment.


KNOWLEDGE, SKILLS & ABILITIES:

  • Working knowledge of computers and electronic data processing.
  • Working knowledge of modern office practices and procedures; working knowledge of governmental accounting principles and practices including cash handling.
  • Knowledge of terminology associated with Municipal Court operations.
  • Knowledge of Law Enforcement Data Systems (LEDS).
  • Knowledge of citation processes and procedures.
  • Skill in operating listed tools and equipment. 
  • Excellent customer service skills 
  • Ability to perform arithmetic computations accurately and quickly.
  • Ability to communicate effectively verbally and in writing. 
  • Ability to establish successful working relationships; 
  • Ability to work under pressure and deal professionally with frequent interruptions.  
  • Ability to meet deadlines.
A 5% Language Incentive will be paid to those who have Spanish bilingual skills, confirmed by
testing.

TOOLS AND EQUIPMENT USED
Personal computer, including word processing, spreadsheet and data base software; central court platform; 10-key calculator by touch, standard office equipment and communication devices including phones.

Weekly lifting, moving and carrying of objects over up to 20 lbs, and crouching, bending, kneeling. Specific vision abilities required by this job include close vision and the ability to adjust focus. Regular focus on a computer screen for prolonged periods and daily use of a keyboard. Occasionally dealing with distraught or difficult individuals.
