We are seeking a highly organized and proactive Legal Assistant to join the community association and litigation teams. The ideal candidate will excel in a professional and team-oriented environment. The role requires excellent communication skills, meticulous attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Manage attorney calendars, including scheduling and tracking court dates, hearings, depositions, mediations, client meetings (including Zoom), deadlines, Continuing Legal Education (CLE) registrations, and payment of attorney Florida Bar dues.
- Draft, edit, proofread, and format a wide range of legal documents, such as , motions, notices, orders subpoenas, contracts, amendments, correspondence, and covenant enforcement letters.
- Open and close legal matters in accordance with firm procedures, including conflict checks, drafting retainer agreements, ensuring retainer fee deposits are received, payment of vendor invoices, and confirming all funds are cleared and distributed.
- Maintain accurate and organized case files, legal correspondence, and documentation using the document management system (iManage).
- Serve as primary liaison for clients, courts, and vendors, managing incoming/outgoing mail and handling confidential communications and case updates with discretion.
- Input and edit attorney billable time in billing software (Aderant), generate and review unbilled time reports, and assist with accounts receivable (AR) and attorney monthly expense reporting.
Litigation Related Duties
- Coordinate service of process, court filings (e-filing with state and federal courts), and scheduling of court reporters, interpreters, and ordering transcripts.
- Process payments of district court yearly renewal fees.
Community Association Related Duties
- Perform legal research and corporate/entity searches using Florida DBPR, Property Appraiser’s websites, and similar databases.
- Monitor and track litigation timelines (e.g., discovery and filing deadlines) and maintain tickler systems, including MRTA (Marketable Record Title Act) logs and notification letters for HOA/POA clients.
- Assist with the preparation and distribution of Annual and Special Meeting Notice Packages for community association clients.
- Maintain accurate client and matter information in the CRM (InterAction) and oversee document and email organization for file management.
- Draft and prepare Demand Letters, Statutory Pre-Suit Mediation Demand Letters, and Board Meeting Notices and Correspondence to Client.
Required Skills and Qualifications
- Exceptional verbal and written communication skills with strong attention to detail.
- Excellent organizational, time management, and workflow coordination abilities.
- Strong interpersonal and customer service skills; able to maintain professionalism under pressure.
- High level of discretion when handling confidential client and case information.
- Proficient in Microsoft Office Suite; familiarity with iManage and Aderant is preferred.
- Ability to work independently and collaboratively in a fast-paced legal environment.
Education and Experience
- Associate degree in Paralegal Studies or related field required; bachelor’s degree preferred.
- Minimum of three (3) years of legal assistant experience in a law firm or corporate legal department, preferably with experience in community association law or litigation.
