To apply to this position and be considered, click the Apply button located above this message and complete the application in full.  Below, you’ll find other important information about this position. Acting under the direction and supervision of leadership, provides comprehensive Legal Assistant support of the contracting, transactional, compliance, risk management, legislative tracking, litigation and overall general counsel, government relations functions, and executive responsibilities of the supervising attorneys, as well as in support of the more general legal needs.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. High School diploma or Equivalent

EXPERIENCE:

1. Two (2) Years of experience in legal or related field.

PREFERRED QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. Associate’s degree in business/office management, secretarial sciences, or related legal field

EXPERIENCE:

1. Experience with database and electronic document management systems

2. Experience related to general transactional, contract, litigation, and legal processes

3. Advanced experience in Microsoft Office and Adobe

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position. They are not intended to be constructed as an all-inclusive list of all responsibilities and duties. Other duties may be assigned.

1. Provide a wide range of support to supervising attorneys, including legislative tracking, contract and transaction support, litigation tracking, and document management.

2. Serve as the primary point of contact for supervising attorneys regarding scheduling, meeting coordination, arranging travel accommodations when requested, submitting travel reimbursements, and managing contract-related requests.

3. Monitor deadlines and send timely reminders for critical dates, and ensure all essential meetings, deadlines, and other key events are accurately placed on supervising attorneys’ calendars.

4. Communicate timely and professionally with internal WVUHS departments and external parties, including government officials and their staff.

5. Maintain contact database all applicable state and federal officials and their staff members.

6. Prepare documents for signature, coordinate the execution and mailing of legal documents, and manage incoming and outgoing correspondence on behalf of supervising attorneys.

7. Oversee new matter intake and closure, maintain internal matter-organization systems, and monitor document management information to ensure alignment with department standards.

8. Maintain appropriate departmental filing system and departmental files, ensuring ease of access in timely manner to accurate information.

9. Complete various projects related to the organization of documents, filing systems, and contract archiving.

10. Track legislation and associated meetings, both state and federal.

11. Create and organize legal office management information and generate related reference tools for office use.

12. Navigate governmental websites, conduct research related to excluded parties on governmental and OIG websites, perform sanction checks on outside vendors as necessary, and ensure all vendors are registered to perform business in state of residence.

13. Ensure contract file contains all fully executed agreements, signatures, and supporting documents prior to closing.

14. Circulate final copies of contracting documents to stakeholders and archive fully signed contracts.

15. Assist with presentations and speaking engagements, including preparation of materials.

16. Support the WVUHS Legal Services Department in all matters, including support of other counsel and staff within the Department as needed.
