Job Description

We are seeking a highly organized, skilled, and detail-oriented Litigation Secretary to join our law firm and support our litigation team. The ideal candidate will provide administrative and secretarial support to our litigation team. Additionally, the Candidate should have experience working in a fast-paced law firm, providing essential support to civil and commercial litigation attorneys. This role requires strong organizational skills, excellent communication abilities, and a deep understanding of legal processes related to litigation. This role requires experience in handling a variety of legal documentation, client communications, and the coordination of real estate transactions. 

Requirements
  • Prepare and format complex legal documents, including pleadings, briefs, and motions, with proper Tables of Contents and Tables of Authorities that comply with court-specific formatting requirements.
  • Knowledge of state and federal court rules. 
  • Assist attorneys with preparing, revising, and finalizing legal documents such as pleadings, unlawful detainers, motions, discovery responses, subpoenas, and correspondence.
  • File court documents electronically using federal and state e-filing systems, ensuring all documents are filed accurately and in a timely manner.
  • Manage attorney calendars, schedule depositions, court hearings, trials, meetings, and client conferences.
  • Prepare trial binders, exhibits, and other litigation materials as required.
  • Communicate with court personnel, opposing counsel, process servers, and clients.
  • Track litigation deadlines and ensure attorneys are prepared for hearings, motions, and trials.
  • Handle administrative duties such as copying, scanning, mailing, and managing attorney correspondence.

  Qualifications:

  • 5+ years of experience as a litigation secretary
  • Strong knowledge of legal terminology and court procedures
  • Excellent knowledge of legal document formatting requirements, including precise formatting of pleadings according to local court rules
  • Advanced proficiency with Tables of Contents (TOC) and Tables of Authorities (TOA) in Microsoft Word
  • Experience creating, updating, and troubleshooting complex legal documents with extensive cross-references
  • Proficiency with legal document management software and e-filing systems
  • Excellent written and verbal communication skills
  • Superior attention to detail and organizational abilities
  • Ability to prioritize tasks and meet strict deadlines
  • Strong problem-solving skills and the ability to work independently
  • Proficiency with Microsoft Office Suite
