Description

Coughlin & Gerhart, LLP is seeking a full-time, benefits-eligible Legal Assistant who performs a variety of administrative duties for our Worker's Compensation attorneys and paralegals according to established policies and procedures. Maintains good public relations with clients, attorneys and staff. Observes confidentiality of attorney-client relationships. Provides coverage for other staff members as needed. 


RESPONSIBILITIES:

  • Draft, proofread, and file legal documents such as petitions, motions, settlement agreements, and discovery. 
  • Schedule and coordinate medical appointments, depositions, hearings, and meetings with clients and experts.
  • Assist with client intake, gather initial documentation, and maintain regular client communication. 
  • Manage case files, ensuring all documents are organized and up-to-date (both paper and electronic files). 
  • Monitor and track case deadlines and court dates using legal calendaring systems. 
  • Request and follow up on medical records, employment records, and other relevant documentation. 
  • Prepare trial/hearing binders and exhibits. 
  • File documents electronically with the WCB (Workers’ Compensation Board), Appellate Division and other relevant agencies. 
  • Perform other administrative tasks as required, including answering phones, managing correspondence, and assisting with billing.


Requirements
  • Able to operate, with confidence, all office equipment including: Computer, Copier/Printer/Fax Machine, Postage Meter, Binding Machine, and Typewriter. 
  • Proficient in Microsoft Office products. Ability to learn billing and document retention software.
  • Ability to effectively communicate with clients, whose knowledge of their transaction is at different levels of understanding. 
  • Ability to adapt quickly to changing deadlines and being able to think outside the box and apply problem-solving skills calmly.
  • Ability to proof-read and edit correspondence and legal documents; attention to detail is extremely important.
  • Ability to work independently and as part of a team.
  • Ability to read and interpret organizational documents.
  • Ability to multi-task and provide high level of assistance while managing a heavy workload for supervising attorney(s), as well as covering other attorneys, as needed with little notice; able to adapt quickly to changing deadlines.


QUALIFICATIONS:

  • High school diploma required; AAS degree preferred. 
  • Knowledge of Worker’s Compensation laws and procedures strongly preferred.
  • 2+ years of experience in Worker’s Compensation legal assistant role strongly preferred.
  • Notary Public License highly desired.

Salary Description
$20.00 to $26.00 per hour, depending on experience
