Position Summary
Epic Pain Management is seeking a highly organized and detail-oriented Bilingual Affidavit & Legal Records Coordinator to join our Patient Advocate Department. This position is responsible for managing legal document requests, preparing affidavits, coordinating subpoena responses, and performing comprehensive quality control reviews of medical records and billing documentation prior to release.
The ideal candidate possesses exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities while maintaining strict confidentiality and professionalism. Spanish speaking is required to effectively communicate with our patient population.
Essential Responsibilities
- Process legal document requests, including affidavits, subpoenas, certified medical records, billing records, and related documentation.
- Perform comprehensive quality control (QC) reviews of medical records, billing records, and legal documents to ensure accuracy, completeness, and consistency prior to release.
- Review documentation for discrepancies, missing information, and potential errors, and coordinate corrections with the appropriate departments.
- Prepare affidavits and supporting legal documentation with a high degree of accuracy.
- Compile, organize, and release medical records and billing documentation in accordance with company policies and applicable regulations.
- Monitor legal requests to ensure deadlines are met and documentation is completed accurately and timely.
- Communicate professionally with attorneys, patients, providers, and internal departments regarding document requests and status updates.
- Maintain accurate tracking of legal requests and completed work.
- Coordinate invoicing and applicable fees in accordance with company policy and state regulations.
- Maintain compliance with HIPAA and all applicable federal and state privacy regulations.
- Provide exceptional customer service while maintaining professionalism in all interactions.
Qualifications
- Spanish speaking required. (Written Spanish is not required.)
- Minimum of two (2) years of experience in healthcare, medical records, legal support, patient advocacy, personal injury, or a related field preferred.
- Experience working within an electronic medical record (EMR) system.
- Exceptional attention to detail with the ability to identify discrepancies and maintain a high level of accuracy.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Strong critical thinking and problem-solving abilities.
- Proficiency with Microsoft Office and standard business software.
- Ability to work independently while managing multiple priorities and deadlines.
- Ability to always maintain confidentiality and professionalism.
Preferred Qualifications
- Current Notary Public certification strongly preferred.
- Experience in Personal Injury, Pain Management, Medical Records, Health Information Management, or Legal Support.
- Experience preparing affidavits, responding to subpoenas, certified medical records, or other legal document requests.
- Working knowledge of HIPAA and medical record release requirements.
