Position Summary
The Executive Administrative Assistant provides essential support to both the Human Resources and Legal departments, with a focus on coordination, communication, and administrative efficiency. This role includes managing the HR inbox, supporting the preparation of legal and HR documents, assisting with front office responsibilities, and maintaining organized departmental workflows. The ideal candidate will be organized, detail-oriented, and comfortable handling multiple priorities in a fast-paced professional environment.
Responsibilities
Administrative & Departmental Support:
- Provide day-to-day administrative support to HR and Legal teams, including scheduling meetings, maintaining calendars, booking travel, and preparing agendas and meeting materials.
- Draft, edit, and format various documents, such as policies, legal memos, presentations, standard templates, and department communications.
- Assist with expense reporting for both departments.
Legal Department Support & Franchise Documentation:
- Support the annual update and registration process of Franchise Disclosure Documents (FDDs), including gathering required information, formatting content, and tracking review timelines.
- Disseminate and track execution of franchise agreement packages (new, renewal, transfer, and termination).
- Maintain accurate records of executed franchise agreements and related documents and correspondence in digital and hardcopy formats.
HR Department Support:
- Identify opportunities for process improvement and contribute to the development of standardized processes and documentation to streamline recurring operations.
- Assist in the execution of HR projects by managing timelines, tracking deliverables, and ensuring effective communication.
- Manage the shared HR email inbox, including monitoring messages, categorizing and escalating inquiries, drafting replies, and ensuring timely follow-ups.
Experience and Competencies
- At least 5 years of executive administrative experience in a corporate, legal, HR or franchising environment.
- Associate’s degree or relevant combination of education and professional experience required.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is required.
- Ability to understand and organize contract documentation and maintain compliance-related records.

- Prior experience supporting a legal department preferred,

There will be periodic requirements to travel for in-person events, at the discretion of your manager or the requirement of the company.
