Job Description

Job Overview: We are seeking a detail-oriented and highly organized Legal Assistant to join our team. This role is critical in supporting attorneys and the Office Manager with high-level administrative, legal, and office management tasks. The ideal candidate will possess strong communication skills, an ability to multitask in a fast-paced legal environment, and a commitment to maintaining firm procedures and client expectations.

Key Responsibilities:

  • Analyze and process data to ensure adherence to workflow expectations set by clients and the firm.
  • Update and document the status of assigned accounts using internal case management software.
  • Prepare legal documentation for attorney review and ensure all materials are complete and accurate.
  • File pleadings (paper and e-file) with various state-specific court systems.
  • Communicate effectively and professionally with internal team members and external parties.
  • Adhere to the Firm's established standard operating procedures.
  • Review and assemble legal documents for court, ensuring proper signatures, notarizations, and inclusion of exhibits.
  • Obtain missing or updated information through telephone, mail, fax, or online research.
  • Monitor account and case statuses, advancing cases to the next appropriate action as needed.
  • Handle document photocopying, faxing, e-filing, and mailing.
  • Contact courts to verify document service and filing status.

Qualifications:

  • Previous experience in a legal assistant or administrative support role preferred.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and case management software (training provided if necessary).
  • Excellent written and verbal communication skills.
  • Ability to manage sensitive and confidential information with discretion.
  • Familiarity with court procedures and e-filing systems is a plus.

Other Work Requirements:

  • May be required to occasionally work extended hours
  • Successfully pass pre-employment testing including criminal background check, credit check, and drug testing
