Job Description

Baker, Donelson, Bearman, Caldwell, & Berkowitz PC has an immediate opening for a Legal Electronic Billing and Appeals Specialist. This position may be based at any office within the Firm's footprint. The ideal candidate will be highly organized and detail-oriented. This role plays a critical part in the Firm’s billing and collections process by monitoring electronic billing platforms, identifying invoice reductions, and preparing appeals to ensure timely and accurate revenue capture. Reports directly to the Electronic Billing Manager and indirectly to the Director of Revenue Services. The role operates with close supervision and requires frequent collaboration with Accounting, Finance, Client Accounts, Administration, Attorneys, and Legal Secretaries. The most effective candidate will have experience in Microsoft Office programs / applications, BillBlast (eBilling software), Aderant or other legal accounting software experience. A minimum of 2 years of law firm billing background are preferred. Will train the right candidate.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Collaborates with firm personnel to ensure new clients and matters are accurately established in the required eBilling platforms.
  • Serve as a liaison between client billing contacts and attorney teams to ensure compliance with electronic billing requirements and guidelines.
  • Manages the full electronic invoice submission lifecycle—from upload through payment—while tracking exclusions, appeals, deadlines, and related activity.
  • Collaborate with other Electronic Billing Specialists to investigate and resolve invoice reductions, including issues related to rates, write‑offs, task codes, or client‑specific rules.
  • Monitor BillBlast, email communications, and client billing portals to identify invoices that require appeals, corrections, or supplemental documentation.
  • Collaborate directly with attorneys, paralegals, and secretaries to obtain necessary backup and information for billing appeals.
  • Identify issues causing invoice reductions or rejections, correct discrepancies, and submit formal appeals through appropriate eBilling platforms.
  • Perform other duties and special projects assigned by the Electronic Billing Manager and Director of Revenue Services.

Qualifications Required:

  • Proficiency with Microsoft Office (Word, Excel) and Windows operating systems.
  • Experience with electronic billing platforms.
  • Strong organizational, communication, and mathematical skills.
  • Exceptional attention to detail and accuracy.
  • Ability to work effectively in a fast‑paced environment with competing priorities.
  • Ability to work occasional overtime to meet billing deadlines.

Preferred

  • Experience with BillBlast, Aderant, or other legal accounting/eBilling systems.
  • At least two years’ experience in legal billing, electronic billing or appeals.
  • Ability to interpret and apply client billing guidelines.
 

Work Environment & Schedule

This role involves daily interaction with the Director of Revenue Services, Accounting, Finance, Client Accounts, Administration, Attorneys, and Legal Secretaries. The candidate must be able to balance multiple priorities, manage deadlines, and adapt to shifting demands.
