    Job Title: School Board Clerk & Internal School Legal Counsel Secretary

     

    Qualifications: High School diploma required; Associates or Bachelor’s degree in Business Administration, Legal Studies, or related field preferred.

     

    Education: High school diploma or GED required; Associates or Bachelor’s degree in Business Administration, Legal Studies, or related field preferred.

     

    Training or experience required: Minimum 3–5 years in administrative support, preferably in a school district, government, or legal setting.

    Reports to: School Board President & Internal Legal Counsel

     

    Contract: 260 Day Contract

    Job Summary:  The School Board Clerk & Legal Counsel Secretary provides high-level administrative and legal support to both the School Board and the Internal School Legal Counsel. This role ensures the efficient operation of board governance, maintains compliance with legal and regulatory requirements, and assists with legal documentation, meeting coordination, and record-keeping. The position requires strong organizational skills, discretion, and the ability to manage confidential information.  

     

    Essential Job Functions:

     

    School Board Clerk Duties:

     
    • Prepare, distribute, and maintain agendas, minutes, resolutions, and official records for School Board meetings.  

    • Ensure compliance with open meeting laws (e.g., posting notices, maintaining records).  

    • Attend all School Board meetings, record proceedings, and transcribe minutes accurately.  

    • Manage board policies, bylaws, and governance documents, ensuring updates and proper filing.  

    • Serve as the custodian of official School Board records, including contracts, agreements, and legal filings.  

    • Facilitate communication between board members, district administrators, and the public.  

    • Assist in organizing board training, retreats, and orientation sessions.  

     

    Legal Counsel Secretary Duties:  

     
    • Provide administrative support to the Internal School Legal Counsel, including drafting correspondence, legal documents, and reports.  

    • Maintain confidential legal files, case records, and litigation documentation.  

    • Schedule meetings, depositions, and hearings; coordinate with external attorneys and agencies as needed.  

    • Assist in research, proofreading, and formatting legal briefs, contracts, and compliance materials.  

    • Track deadlines for legal filings, responses, and regulatory submissions.  

    • Handle sensitive information with discretion and professionalism.  

     

    Shared Administrative Duties:

     
    • Manage calendars, emails, and communications for both the School Board and Legal Counsel.  

    • Process and file district legal documents, including contracts, policies, and public records requests.  

    • Assist with compliance reporting for state and federal education laws.  

    • Maintain databases for board policies, legal cases, and district governance records.  

    • Provide backup support to other administrative staff as needed.  

     

    Knowledge, Skills, & Abilities:

     
    • Exceptional written and verbal communication.  

    • Proficiency in Microsoft Office, legal research tools, and board management software.  

    • Strong organizational and time-management abilities.  

    • Knowledge of legal terminology, education law, and public records compliance is a plus.  

    • Other:  Ability to handle confidential matters with integrity and work outside standard hours for board meetings.  

     

    Successful performance of the job requires good customer service/people skills and to handle problems and provide information and technical assistance as requested. It requires complying with safety guidelines and policies to reduce accidents or injury to staff or to students. It requires following school dress standards, proper attendance or leave policies, and other work-habits concerns for staff. Creativity, initiative and effective problem-solving are critical to the success of the position. Helping to manage the computerization of school district operations. Providing training and support to district staff in the use of administrative computer systems. Performing such tasks to the ultimate benefit of the educational program. 

     

    An incumbent in this position will utilize discretion, ingenuity and independent judgment due to the complexity of the job. Since there may be several ways to solve a problem, an incumbent is free to choose the solution.  In a workday, the employee must sit 3-5 hours per day; stand/walk 1-2 hours per day. Employee's job requires frequent bending/stooping; squatting/crouching; reaching above shoulders; and do required pushing/pulling. Employee's job may require frequent carrying/lifting of up to 35 pounds and occasional carrying/lifting up to 50 pounds. This job may require the employee to use both hands for such repetitive actions requiring simple/firm grasping and/or fine manipulation. Employees must possess manual dexterity/mobility sufficient to maneuver children in wheelchairs and secure them while riding the bus. Employees must possess visual requirements to observe surroundings and ensure safety of all. Employees must possess hearing/speaking acumen enough to communicate effectively with others. Employees must have the mental capacity to know safety procedures, specific facts of the job and to solve problems. This employee's job may require working outdoors or with temperature changes; employees must demonstrate calm and patience despite the constant influx of information and problem-solving the job requires.

     

    Work Environment:

     
    • Primarily office-based with occasional evening meetings.

    • Fast-paced environment requiring multitasking and attention to detail.
