Position Overview
This dual-function role provides support to our Director of Operations while managing key aspects of our accounts receivable and billing processes. You'll work in a flexible hybrid environment, spending three days per week in our vibrant San Francisco office and two days working remotely.
Key Responsibilities
Administrative Assistant Duties (50%)
- Provide comprehensive executive support to the Director of Operations including day-to-day administrative support, HR support, meeting coordination, and assistance with event planning
- Prepare reports, presentations, and correspondence on behalf of the Director
- Manage and prioritize incoming communications and requests
- Maintain confidential files and documentation
- Assist with special projects and strategic planning activities
- Schedule and coordinate meetings with partnership and staff
Accounts Receivable/Billing Duties (50%)
- Generate and distribute customer invoices accurately and timely
- Process payments and maintain accounts receivable records
- Follow up on outstanding balances and manage collection activities
- Reconcile customer accounts and resolve billing discrepancies
- Prepare aging reports and communicate status to management
- Coordinate with partners and senior counsel regarding aged A/R account issues
- Maintain accurate customer billing information and payment terms
Required Qualifications
- Bachelor's degree or equivalent combination of education and experience
- 2+ years of administrative support experience, preferably supporting executives
- 1+ years of accounts receivable or billing experience
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with accounting software
- Experience with document management software
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Professional demeanor and strong interpersonal skills
Preferred Qualifications
- Experience in a fast-paced, growing company environment
- Previous experience supporting executives
- Understanding of basic accounting principles
- Familiarity with collection procedures and customer service best practices
