Winthrop & Weinstine is seeking a knowledgeable and driven Legal Administrative Assistant to work in our Patent Intellectual Property Department - someone with strong attention to detail who can assist with the workload for busy attorneys and paralegals. The ability to work in a fast-paced environment as part of a close-knit team provides a challenging opportunity and an enjoyable workplace. The responsibilities for this position will include, but are not limited to:
ESSENTIAL JOB FUNCTIONS (Including, but not limited to):
- Provide broad legal administrative support, including calendar oversight, scheduling meetings, handling routine correspondence, and coordinating travel and appointments.
- Review, organize, sort and distribute daily mail on numerous client matters.
- Review and finalize client billings, in appropriate.
- Maintain and organize electronic client files, including regular filing of emails and attachments and stay current on file openings.
- Provide quality, responsive customer service to clients and co-workers.
- Provide docketing/calendaring support.
- Prepare and edit legal correspondence and documents, and basic document manipulation.
- Manage processing of invoices and related record-keeping.
- Process conflict checks, engagement agreements, and initiate new client intake promptly and accurately.
- Track and organize receipt and expense submissions.
- Monitor and maintain attorney professional memberships, CLE reporting, and license renewals.
COMPETENCIES (KNOWLEDGE, SKILLS AND ABILITIES):
- Knowledge of practice area and familiarity with legal terminology and procedures.
- Strong knowledge of grammar, proofing and basic administrative skills.
- Strong word processing skills, including efficient use of Microsoft Styles.
- Proficient transcription skills from digital dictation.
- Ability to keyboard 75 words per minute accurately.
- Ability to proficiently produce documents with firm templates.
- Proficient basic Excel skills to enter and manipulate data and insertion and use of simple formulas.
- Strong organizational skills.
- Ability to effectively handle multiple tasks and frequent interruptions.
- Ability to effectively interact with all levels of staff and outside contacts.
- Ability to organize and prioritize work and follow assignments through to completion.
- Strong written and verbal communication skills.
- Ability to handle a large volume of detailed work with accuracy.
- Ability to work well under pressure with deadlines.
- Ability to effectively work within a team environment.
- Job duties may require time over 37.50 hours per week.
