Job Description

The Executive Unit within the Public Rights Division (PRD) is looking for a strong, analytical candidate to join our team. We are seeking someone with excellent communication, organizational, and prioritization skills.

Under the direction of the PRD Supervisor I (Sup I), Executive Unit, the Contract Administrator performs the more complex and varied analytical duties, including, but not limited to, providing consultative services, analytical support, fiscal management, and problem resolution to management regarding the division’s contract matters. The Contract Administrator will work closely with various departmental programs including the Budget Office, Contracts and Procurement Unit, Accounting, and the California Justice Information Services Division. As a statewide legal contract coordinator, the Contract Administrator gathers, analyzes, and maintains contract information; researches and makes recommendations to the Sup I relating to contract procedures for legal services and information technology contracts. The Contract Administrator works independently on the preparation, processing, and monitoring of a variety of complex contracts for PRD under strict time constraints.

  • Proficiency in Microsoft Suite, Adobe, FileMaker Pro, and Visio are highly desirable.
  • Knowledge of the California State Contracting Manual and familiarity with state procurement processes is preferred but not required.
  • Possession of strong interpersonal skills with the ability to effectively present information to management.
  • Excellent written and oral communication skills and a demonstrated history of good work habits.
  • Ability to work under pressure with a high degree of initiative and perform multiple tasks with accuracy.
  • Ability to build and maintain trust-based relationships with multiple internal and external stakeholders.
  • Ability to exercise good judgment and act with flexibility and diplomacy.
  • Ability to accurately interpret and apply policies and procedures.
  • Ability to maintain confidentiality on sensitive issues, work cooperatively as a team, as well as independently, and maintain professional relationships with departmental staff.
  • Strong organizational skills, ability to set priorities, and meet deadlines within challenging time constraints.
