Description

Overview:

Under the supervising Attorney in the Investment Management practice group, this position provides general legal secretarial support to our Investment Management & Securities group in our Hamilton, NJ office. The ideal candidate is self-directed and detail-oriented with the ability to organize and manage multiple tasks in a fast-paced environment. The right candidate will have the extraordinary opportunity to continue their professional development in a challenging, but collegial, environment.

Responsibilities:

  • Provide general administrative and secretarial support to attorneys and paralegals.
  • Answer and direct phone calls in a courteous and professional manner.
  • Schedule meetings, conference calls, and maintain calendars for attorneys.
  • Draft, edit, and manage client correspondence.
  • Assist in the execution and tracking of the firm’s annual compliance program.
  • Review client bills and billing entries for accuracy and completeness.
  • Generate and maintain reports related to compliance and client matters.
  • Monitor and track key compliance program tasks and deadlines.
  • Review and organize client email archives and relevant communications.
  • Analyze brokerage statements and assist in identifying discrepancies or irregularities.
  • Organize, maintain, and update physical and digital client files.
  • Support the analysis and documentation of client fee arrangements.
  • Handle other responsibilities as directed.

Qualifications:

  • Bachelor’s degree preferred.
  • 3-5 years of experience in financial services, law, or related field (preferred).
  • Proficient in Microsoft Office, especially Excel.
  • Strong numeracy, analytical, and organizational skills with high attention to detail.
  • Familiar with financial/investment terminology.
  • Quick learner with ability to master new software.
  • Reliable self-starter with strong work ethic and follow-through.
  • Able to multitask, prioritize, and perform under pressure.
  • Team-oriented with professional client interaction skills.
  • Proficient typing and keyboarding.
