Our Billings, MT office is currently seeking an experienced Disbursement Specialist.
POSITION SUMMARY:
AVA Law Group is seeking a Disbursement Specialist to handle the critical final stages of case settlements. This role focuses on the accurate and efficient disbursement of settlement funds to clients, medical providers, and other parties after case closure. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
KEY RESPONSIBILITIES:
- Accurately calculate and process settlement disbursements, ensuring compliance with firm policies, client agreements, and legal requirements.
- Take responsibility for cases after closure, ensuring smooth handling of all settlement disbursement activities.
- Serve as a primary point of contact for clients, providing clear and timely updates on the status of their settlement funds and addressing any inquiries.
- Coordinate with medical providers, insurance companies, and other lienholders to negotiate and resolve outstanding liens before finalizing disbursements.
- Maintain detailed and organized records of all disbursement activities, ensuring compliance with legal and audit standards.
- Ensure that all disbursement activities adhere to applicable laws, regulations, and ethical standards.
- Identify and address any discrepancies or issues during the disbursement process, escalating complex matters when necessary.
- Work closely with attorneys, paralegals, and accounting teams to ensure efficient post-closing operations.
KEY SKILLS:
- Strong computer skills to effectively utilize AVA Law Group’s in-house case management system.
- Proficient in case management and accounting software (e.g., FileVine or similar systems).
- High level of accuracy and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple deadlines in a dynamic environment.
- Strong problem-solving skills and the ability to work independently.
MINIMUM QUALIFICATIONS:
- 3 years of experience in a law firm or legal setting, particularly in settlement disbursement or related processes, preferred.
- Associate or bachelor’s degree in business, finance, or a related field preferred.
- Team-Oriented: Values collaboration and enjoys helping others.
- Eager to Learn: Proactive about growing professionally and taking initiative.
- Client-Focused: Committed to providing excellent service and clear communication.
- Technical Proficiency: Comfortable with Excel, data entry, and account management.
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting.
- Perform repetitive tasks such as typing and clicking.
- Must be able to lift and move light items up to 20 pounds at times.
- Must be able to bend, reach, push, pull, lift, and sit.
