Position Summary: The Operations Manager plays a pivotal role in leading the Crash Productions team, ensuring the seamless execution of video production projects that support the firm’s legal, marketing, and community initiatives. This role is responsible for managing team performance, overseeing project workflows, and optimizing resource allocation to maintain high standards of quality and efficiency. The manager drives operational excellence through data-driven reporting, proactive problem-solving, and cross-departmental collaboration. By fostering a culture of accountability, continuous learning, and professional development, the Operations Manager ensures the team is equipped to deliver impactful content while supporting the firm’s goals.

Expectations:

  • Team Oversight & Performance Management
    • Provides daily leadership and support to Crash Production team members, ensuring roles and responsibilities are clearly understood and executed efficiently.
    • Monitors individual and team performance, offering feedback, coaching, and accountability to uphold high standards of productivity and professionalism.
    • Facilitates regular check-ins, team meetings, and performance reviews to drive engagement, growth, and alignment with team goals.
  • Project Oversight & Execution
    • Oversees the planning, prioritization, and execution of video production projects, ensuring deadlines, scope, and quality benchmarks are consistently met.
    • Maintains visibility into all ongoing and upcoming projects, balancing workload distribution and addressing production bottlenecks or delays proactively.
    • Partners with producers and creatives to ensure projects are delivered with strategic intent and aligned with the firm's legal and marketing objectives.
  • Reporting & Workflow Tracking
    • Builds and maintains reporting systems (manual and automated) to track project statuses, turnaround times, and team productivity.
    • Analyzes performance data to identify trends, gaps, and opportunities for improvement in production workflow or resource allocation.
    • Delivers clear, data-backed updates to leadership and stakeholders on team output and operational health.
  • Equipment & Asset Management
    • Manages the inventory, organization, maintenance, and procurement of all production equipment and tools.
    • Ensures the team has access to fully functional and updated gear necessary for high-quality output across shoots and edits.
    • Implements check-out/check-in systems and accountability measures for equipment use.
  • Training & Onboarding
    • Works with Learning and Development to deploy structured onboarding and training programs for new team members, ensuring consistency in quality and expectations.
    • Identifies skill gaps and provides ongoing training opportunities to elevate team capabilities in technical, creative, and operational areas.
    • Encourages professional development and supports cross-training to ensure team flexibility.
  • Cross- Departmental Collaboration
    • Serves as the primary liaison between the Crash Productions team and other departments (Legal, Marketing, Community, etc.) to streamline communication and align project expectations.
    • Ensures requests, priorities, and timelines from other departments are clearly communicated to the production team and integrated into workflow.
    • Fosters strong, solutions-focused relationships across departments to support firm-wide initiatives and shared success.

Essential Duties/Responsibilities:

  • Team Supervision & Performance Management
    • Ensure clear delegation of responsibilities and equitable workload distribution.
    • Tracks team performance, sets expectations, and provides regular feedback and coaching to maintain high standards.
    • Enforces deadlines and manages timelines to ensure timely delivery of all video production projects.
  • Project Tracking & Workflow Management
    • Oversees accurate entry and consistent tracking of all production requests and project details from Filevine to SharePoint.
    • Maintains workflow visibility and ensures that all project milestones, due dates, and team assignments are up to date and properly documented.
  • Data Reporting & Analytics
    • Develops and maintains regular reports that analyze project volume, types, completion frequency, costs, and other key performance indicators.
    • Produces monthly, quarterly, and year-over-year comparisons to inform leadership of trends and operational efficiency.
    • Leverages reporting data to make informed decisions around staffing, process improvements, and resource allocation.
  • Training & Onboarding
    • Leads onboarding of new hires, with a focus on setting clear expectations, technical training (especially for videographers), and department protocols.
    • Ensures team members are equipped with the skills and knowledge needed to succeed and remain compliant with firm standards.
    • Implements ongoing training opportunities to support professional development and cross-functional team capability.
  • Hands-On Project Support
    • Provides direct support to the team by filming and editing projects as needed, especially during peak times or for high-priority content.
    • Supports production of key deliverables including:
      • Day in the Life videos
      • Witness interviews
      • Deposition video edits
      • Rapid Response Team (RRT) crash scene documentation
    • Attorney & Department Collaboration
      • Conducts regular check-ins with attorneys to clarify case-specific production needs, align on project goals, and confirm delivery timelines.
      • Collaborates with departments including Legal, Marketing, Community, and Intake to understand project context and deliver seamless production support.
    • Administrative & Operational Oversight
      • Reviews and approves team timecards and paid time off (PTO) requests, ensuring coverage and continuity of operations.
      • Maintains and updates Attorney Score Cards to track usage, engagement, and project impact by attorney or case.
      • Monitors adherence to internal policies and ensures compliance with department and firm-wide procedures.
    • Team Culture & Leadership
      • Fosters a respectful, inclusive, and collaborative team environment that promotes open communication, professionalism, and accountability.
      • Navigates varying personalities and work styles to maintain positive team morale and resolve conflicts constructively.
      • Acts as a role model for the team by demonstrating leadership, initiative, and a solutions-oriented mindset.

Physical Requirements:  

  • Office environment with normal business hours necessary to satisfactorily perform job functions.   
  • Stationary Position – Must be able to remain in a stationary position up to 50% of the time.  
  • Move or Traverse – This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.  May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
  • Dexterity – constantly operates a computer and other office machinery such as a copy machine/printer.  
  • Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs. 
  • Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
