SUMMARY:
This position is primarily responsible for administering legal service requests presented to Highland Bank, such as garnishments, subpoenas, and levies. Additionally, this role provides critical front-line customer support for both internal staff and external clients via phone, email, chat, and digital platforms. The position also supports multiple back-office functions related to card services, cash handling, bill payment, and fraud monitoring.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: other duties may be assigned.
Legal & Compliance Administration
- Process legal requests such as garnishments, subpoenas, levies, warrants, court orders, and bankruptcies.
- Manage bankruptcy coding, W-8BEN forms, stale-dated Cashier’s checks, account freezes, and escheatment reporting.
- Oversee IOLTA & RETA accounts, including NSF reviews, interest calculations, and state reporting.
- Conduct legal research, respond to document inquiries, and ensure timely reporting to government agencies.
Client Services & Digital Support
- Provide front-line support via phone, email, chat, and service tickets for internal and external clients.
- Assist with digital banking tools (online/mobile banking, bill pay, mobile deposit, Zelle, etc.).
- Approve or deny mobile deposits and process privacy opt-outs.
- Train new hires and support ongoing digital banking education.
Card Services & Fraud Monitoring
- Manage card requests (limit increases, alerts, travel notices, refunds) and process return mail.
- Maintain cardholder status (e.g., close cards for deceased or closed accounts).
- Oversee card equipment (Card@Once machines) and review monthly reports.
- Monitor CAMS alerts, Verafin fraud alerts, and card access outside business hours.
Cash Handling & Bill Pay Operations
- Process cashier’s checks and teller transactions for internal departments.
- Reconcile monthly cash statements and handle cash-related operational tasks.
- Monitor and generate bill pay reports (daily, monthly, and periodically).
- Maintain enrollment and activity records for bill pay services.
Operations Support & Compliance Oversight
- Support IRA transaction reviews and department OFAC verifications.
- Maintain and update procedures; assist during system upgrades and product rollouts.
- Ensure compliance with AML/BSA, OFAC, CIP, and Identity Theft programs.
- Assist with ordering supplies and managing operational vendor communications.
